Position Summary

POSITION SUMMARY

Under the direction of the Employment and Training Specialist, the Employment Assistant partners with applicants, hiring departments, and administrators to ensure a streamlined hiring experience that is consistent with applicable college, EEOC and employment policies/guidelines. Understands the technical as well as functional hiring needs and assists hiring managers with their staffing needs. Assists in establishing, implementing, delivering, and evaluating training and professional development needs for college employees. Supports the performance management objectives for the college by coaching managers/employees in conjunction with Labor and Employee Relations to identify developmental needs, planning and implementing appropriately. Performs other HR generalist duties as directed.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Administer recruitment and hiring process by collaborating with appropriate staff, posting and advertising positions, managing applicant pools and materials, generating applicant correspondence and personnel actions.
2. Document existing processes/procedures and develop training opportunities to cross train HR staff.
3. Deliver and facilitate training programs to diverse audiences. Conduct evaluations to measure instruction, learning, and program effectiveness.
4. Provide timely and professional communication to applicants and hiring departments on recruitment and hiring procedures. Update applicants on position status and assist with processing new hires in HRIS system.
5. Provide technical support for the People Admin – Applicant Tracking System, Halogen Performance Management System and LMS, serving as one of the SME’s for the user community (answering questions, conducting system training, troubleshooting and providing technical assistance).
6. Build collaborative relationships with academic and administrative management to become a trusted resource for hiring needs, recruitment, and ongoing training and development initiatives.
7. Assist manager with tracking EEO and diversity initiatives including the preparation of reports; analyze headcount, turnover, recruitment trends and other personnel statistics.
8. Prepare recruitment and professional development reports for Senior Leadership Team, Board of Trustees and government agencies as required.
9. Partner with the Diversity, Equity, and Inclusion Office and act as the HR liaison for the DEI Hiring Subcommittee.
10. Assist with development of recruitment strategies that are aligned with the College’s initiatives to increase diversity in applicant pools and draw candidates that are representative of our community.
11. Conduct training on a number of HR related topics and or systems.
12. Act as HR generalist during peak periods, providing general HR guidance to common inquiries, training, onboarding, support with employee relations responsibilities and other tasks as directed.
13. Administer pre-employment selection methods such as assessments and background investigations.
14. Represent JJC at public events such as job fairs and community job outreach programs as needed.
15. Perform related duties as assigned.
