Position Summary: Record daily banking transactions into PeopleSoft financials based on activity in Wells Fargo general checking account. Prepare/supervise student staff preparation of monthly bank reconciliations. Assist with chartfield setup and maintenance, with supervision by Senior Technical Accountant and Director of Finance/AVP for Finance. Assist with various year-end audit processes on an as needed basis including inventory. Coordinate designated monthly processes including journals for proper allocation of expenses to various departments and projects. Work with Senior Tax Accounting Analyst to prepare the university's excise tax returns. Cross-train with and provide backup support for other Office of Finance team members. Provide excellent service to constituents.
Essential Job Functions and Responsibilities:
- Responsible for daily banking activities including department
notifications of banking activity, daily banking journal entries,
and bank reconciliations. Responsible for saving all relevant
banking records and reviewing student preparation of “Receipt
Deposit” log tracking all deposit activity, in connection with bank
reconciliation work.
- Prepare banking journal entries for Rainier Heights, workers
comp and payroll accounts
- Prepare wire transfers and ACH transfers in Wells Fargo CEO
system, as needed
- Monitor accounting processes to ensure timely and accurate
deposits that reconcile with bank records.
- Prepare the state of Washington monthly and City of Tacoma
quarterly excise tax returns of the university, to be reviewed by
Senior Tax Accounting Analyst and Director of Finance
- Provide support to Director of Finance in managing the
Clover/merchant services program at the university, including
assisting departments with point-of-sale systems and accepting
remote payments
- Coordinate Office of Finance work with year-end inventory
counts for the bookstore, dining and conference services, and
procurement including preparation of work papers and documentation
to support year-end inventory valuations.
- Ensure that all required journals are made to record monthly departmental recharges.
- This includes working with campus constituents to setup and
provide information needed to record the journals.
- Monitor daily the journal generator in PeopleSoft for journal
entries that require posting.
- Prepare various accounting reconciliations related to
procurement card transactions
- Maintain bank fee analysis spreadsheet; identify anomalies and
elevate communication appropriately.
- Monitor Office of Finance listserv for requested accounting
entries, forward issues to appropriate Office of Finance members,
communicate with campus as needed for follow-up to the requests,
and coordinate the preparation of the accounting
entries.
- Prepare quarterly grant billing and cash draws, and assist with
preparing periodic financial reports as may be required by the
sponsor
- Provide support to Senior Technical Accountant in responding to
queries on faculty grants, as that role transitions to University
Relations
- Process and enter into the general ledger ‘gifts-in-kind,'
prepare monthly gift reconciliation against PeopleSoft/Millennium
system, work with University Relations to resolve discrepancies
noted
- Provide backup as assigned for Office of Finance team
members.
Qualifications: - Possess or have an ability to acquire knowledge and
understanding of generally accepted accounting principles (GAAP),
accrual basis accounting applicable to not-for-profit
organizations.
- Requires excellent verbal and written communication skills to
effectively and clearly communicate financial information to all
campus constituents with understanding.
- Must demonstrate initiative, self-direction, ownership of
projects, ability to meet deadlines, attention to detail, strong
analytical skills, and excellent organization, follow-through, and
problem solving skills.
- Must have superior aptitude for and skill with technology,
including learning new technology and understanding data queries
and advanced excel capabilities.
- Ability to work independently and as part of a team and take on
new tasks if required.
- Must be able to work beyond the usual or ordinary requirements
of the position if needed to meet university and regulatory
timelines and due dates.
- Ability to juggle multiple tasks simultaneously and respond
positively to changing
- Bachelor's degree from an accredited college or university
required. Emphasis in accounting or related field of study highly
preferred.
- Must have at least one year work experience in accounting, with
non-profit accounting preferred.
- Requires experience with complex, computerized accounting
systems. Experience with using the Internet and a Web-based
application is preferred.
- Experience using PeopleSoft Financials is highly
desirable.
- Ability to respectfully work, communicate and provide
leadership within a diverse campus community
