Responsibilities
Saint Mary's College of California is seeking an experienced, reliable, task-oriented, and can-do individual for its Advancement Office. The Program Manager, Individual Philanthropy will report to the Senior Director of Individual Philanthropy and will be responsible for performing a variety of duties and working with a variety of people, both inside and outside Saint Mary's. The ideal candidate is highly self-motivated, curious, energetic, professional, well-spoken, an excellent writer and editor, and capable of managing his or her workload and prioritizing tasks in a fast-paced environment. 1. Planned-gift marketing, communications, and training
Under supervision of the Senior Director of Individual Philanthropy
  • Execute Saint Mary's multi-channel planned-gift marketing program by preparing and sending in-house, direct-response communications (by mail, email, and social media) and by working with and overseeing outside service providers, including Crescendo Interactive, in the use of integrated digital and other marketing methods.
  • Work with campus and outside professionals on updating existing planned-giving marketing materials, in digital and paper form.
  • Develop and update documents, in digital and paper form, providing planned-giving information to prospective donors.
  • Maintain and update Saint Mary's planned-giving website. Monitor other nonprofit organizations' planned-giving websites, with goal of keeping our website best in class.
  • Develop and update planned-giving training materials for use by Advancement staff and volunteers.
  • Develop and update materials describing Saint Mary's planned-giving program for distribution to legal and financial professionals.
  • Respond promptly to planned-giving information requests from prospective donors, donor representatives, and Saint Mary's staff.
  • As assigned, follow-up on planned-giving leads.
  • Use Crescendo Interactive software to prepare illustrations for prospective donors considering various types of planned gifts to Saint Mary's.
  • Supervise student workers as needed.

  • Administration of estates and charitable gift annuities
  • Assist and support Senior Director of Individual Philanthropy in monitoring estate-administration processes through communications with executors, successor trustees, and attorneys as necessary to ensure Saint Mary's full and timely receipt of all matured bequests and other planned gifts.
  • Oversee communications with financial companies holding assets of deceased Saint Mary's donors in retirement accounts, life insurance policies, and other financial instruments and accounts, ensuring that Saint Mary's receives gifts from these sources as quickly as possible, as intended by these donors.
  • Assist and support Senior Director of Individual Philanthropy in monitoring, administering, and reporting to donors and the California Department of Insurance on charitable gift annuities entered into by Saint Mary's.

  • Management of the Lasallian Legacy Circle
  • Maintain and update documentation describing the Lasallian Legacy Circle (Saint Mary's group of supporters who have informed the College of their intended bequests and other legacy gifts), for transmission to prospective donors.
  • Oversee the welcoming and thanking of new members to the Lasallian Legacy Circle through preparation and mailing of thank-you letters and certificates of membership.
  • In conjunction with the Director of Stewardship and other Advancement staff, oversee stewardship of Lasallian Legacy Circle members through various means such as newsletters, creation and delivery of membership-recognition gifts, and personal outreach, including twice-per-year calls to each Lasallian Legacy Circle member.
  • Working with the Director of Stewardship, plan and execute Lasallian Legacy Circle events. Follow up with members who attend the events to thank them for their attendance and to respond to any requests for information about Saint Mary's planned-giving program or other questions about Saint Mary's.
  • Supervise student workers as needed.

  • Coordination and Support of Individual-Philanthropy Fundraisers and Programs
  • Work with Advancement colleagues who raise major, leadership, and planned gifts from individuals to provide wide-ranging portfolio management, data analysis, and individual stewardship support. Examples of these duties include:
  • Coordinate the exporting, analysis, and reporting of information regarding these individuals that is stored in Every Action, the database program used by the Advancement office to record and track its external-facing operations, including records of Saint Mary's alumni, parents, friends, and donors, for such purposes as writing and sending letters, emails, invitations to events, and other communications to these individuals, and to respond to their communications to the Advancement office.
  • Analyze data from Every Action to facilitate management of the portfolios of Advancement colleagues raising major, leadership, and planned gifts from individuals. Examples include updating the Every Action accounts of these individuals and creating profiles of donors and prospective donors for use by these colleagues as they prepare to meet or otherwise communicate with them.
  • Create “briefing books” and other materials for Advancement colleagues raising major, leadership, and planned gifts from individual donors, who are planning to meet with or otherwise communicate with these individuals.
  • Work with Advancement Services colleague to inform and facilitate the “moves management” process by entering, exporting, analyzing, and reporting on data describing fundraising activities relating to donors and prospective donors in major-gift, leadership-giving, and planned-giving portfolios, including the identification, qualification, cultivation, solicitation, and stewardship of these individuals, over defined time periods.
  • Work with the Director of Stewardship to assist in creating and overseeing delivery of written stewardship communications with major-gift, leadership-giving, and planned-giving donors, such as reports on endowment funds, scholarship funds, and other funds created or contributed to by these donors.
  • Work with the Executive Assistant to the Vice President of Advancement and Assistant Vice President for Development (Major Gifts), and other Advancement colleagues as needed, to schedule meetings involving Advancement colleagues raising major, leadership, and planned gifts from individuals.
  • Assist Advancement colleagues who serve as liaisons to the four Saint Mary's schools to prepare for meetings with the school deans and their advisory boards.
  • Assist Advancement colleagues raising major, leadership, and planned gifts from individual donors in preparing PowerPoint and other presentations as needed.


  • Experience and Qualifications
    Education: REQUIRED: Bachelor's Degree PREFERRED: N/A

    Experience: (years required and applicable field of experience): Minimum five (5) years experience with most or all of the job duties described above, and willingness and ability to become proficient on those job duties with which the candidate has little or no experience.

    Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) Strong interpersonal, verbal and written skills; excellent customer service and phone etiquette; ability to handle confidential matters; demonstrated excellence in using Windows operating systems, Microsoft Office, email and internet usage; experience working with databases; familiarity with event and travel planning, experience handling purchasing and ordering supplies and materials; ability to handle multiple tasks simultaneously, establish priorities, and work in an organized manner; ability to work cooperatively and effectively with all members of a culturally diverse campus community; ability to work independently and as a team; understanding of and commitment to furthering the mission of the College.
