Libraries Job Description

Job Summary

Responsible for supervising all aspects of libraries physical facilities in coordination with the Head of Public Services, Access Services Manager, and branch librarians. Serves as the point person for public events and scheduling of public spaces in the libraries.

Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

Library Facility Operations: (50%)

In collaboration with Facilities and Campus Safety, responsible for physical spaces in Neilson Library, Josten Library, Hillyer Library and Alumnae Gym. Ensure building operations open and close securely, security walk throughs are on schedule, and security issues are reported in a timely manner in collaboration with Campus Safety. Monitor the people counter system in Neilson Library and collect, assess and report data regularly. Log, facilitate, and ensure completion of facilities work orders for library buildings. Supervise libraries mailroom in Alumnae Gym, coordinate mail processes with the staff of DADE and all other departments operating in library spaces. Manage all incoming and outgoing mail traffic, packing and unpacking activities, internal mail distribution, and supervise student staff who will do the majority of daily tasks in the mailroom. Manage the libraries’ locker system.

Event Organization and Space Planning: (30%)

Responsible for event management in library spaces, work with other event planning colleagues on campus, field and triage requests, ensure proper set up and use of spaces, and the approved policies and practices are followed. Train student employees and staff in space use and event policies. Schedule library tours, collect data about use of public spaces for service assessment and revision. Manage furniture movement and replacement cycles in library spaces. Ensure directory and daily event information is posted on digital and physical signage. Manage the appropriate use of the room reservation system for library spaces including study rooms, seminar rooms, and other library spaces. Manage one card access for library staff to libraries except special collections spaces.

Direct User Support: (20%)

Provide direct customer service whenever asked - this position is always available to users when moving through public spaces. In partnership with the Access Services Manager, assess the experience of library users relating to the facilities, utility and comfort of furnishings, and library information provided in public spaces. Support service desk operations as needed, including student assistant supervision.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Bachelor’s degree or equivalent; 3 years of supervisory and related customer service experience; or an equivalent combination of education and experience.

Experience working with individuals from diverse backgrounds.

Preferred Qualifications

Library experience and event management/communications strongly preferred.

Skills

Excellent communication and interpersonal skills; problem solving and analytical skills; accuracy and attention to detail; ability to organize and prioritize work effectively. Ability to work with people of all backgrounds and to work independently and as part of a team. Proficiency with office technology and familiarity with library software.

Additional Information

Some nights and weekend hours will be required.
