Position Function

Plan, manage, implement, and direct alumni engagement in support of the mission and strategic goals for assigned Colleges and the Ball State University Foundation; assist multiple alumni boards and societies; partner with Deans, department chairs and internal foundation team in the overall planning and administration of alumni engagement activities.

Minimum Education

Bachelor’s degree from an accredited institution.

Minimum Experience

Five years of alumni relations or relevant experiences working with alumni volunteers.

Some experience in the management and execution of events to include marketing, planning, and event coordination.

Minimum Other

Effective written and oral communication skills along with strong organization skills.

Ability to function cooperatively with a wide variety of individuals.

Willingness to work weekends and events.

Willingness to travel; possess and maintain a valid driver’s license and be insurable under the university’s auto fleet policy.

Proficiency in Microsoft Office Programs such as Word, Excel, PowerPoint and Outlook and other platforms as needed.

Working knowledge of Blackbaud NXT or other CRM .

Authorization to work in the US

Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education

Master’s degree.

Preferred Experience

Experience collaborating with academic units and collegiate partners.

Experience with volunteer recruitment and management.

Liaison and manager for alumni engagement initiatives to Colleges and their respective collegiate alumni volunteer boards. Serves the following Colleges: College of Communication, Information, and Media, College of Health, College of Fine Arts, College of Sciences and Humanities, Teachers College and R. Wayne Estopinal College of Architecture and Planning, the Miller College of Business, and the Honors College.

Resident expert for the alumni engagement initiatives for the colleges. A part of a team responsible for building a comprehensive engagement strategy (DoD, Annual Giving, Marketing & Communication, Alumni Engagement). Coordinate needed support for all departmental reunions.

In partnership with respective Deans, Department Chairpersons and board presidents, coordinate and plan alumni society board meetings. Additionally, develop alumni events and experiences that support the overall strategic goals of the Colleges.

Serve as a member of a wider Alumni Engagement team to ensure collaboration, alignment and strategy as it relates to regional alumni engagement and key alumni markets.

Develop budget requests and written narratives for the Office of Alumni Engagement and the Ball State University Alumni Association; maintain records; review budget and expenditures for all programs administered; retrieve, update, and research alumni records.

Coordinate the provision of information to communications staff to allow for timely production of electronic and print materials used in the promotion of all programs administered. Manage and oversee, in partnership with Alumni Engagement Coordinator, all details for marketing and communications plans to ensure timely production of print, online and overall event promotions.
