Position Summary


The Coordinator (Fiscal) for the Grants Office provides financial coordination and oversight for all grant funded programs and projects, as well as support programmatic and administrative performance of a portfolio of federal, state, local and privately funded projects. This role requires an understanding of federal & state grant regulations, knowledge of the college processes and procedures, and the ability to utilize project management fundamentals. This role engages with a broad array of internal and external
College stakeholders, which requires a high level of customer service principles. The incumbent is expected to participate and lead in project and institutional related meetings for the purpose of efficiently and effectively informing institutional and project leadership.

ESSENTIAL JOB FUNCTIONS


FISCAL & ADMINISTRATIVE

Monitors all Columbus State Community College grant funded project budgets through regular forecasting by working with project leadership to ensure funds associated with deliverable are provided within budget. Work with grant principal investigators (PIs) and project teams to provide financial assistance on expenditures, contracts, sub-awards, and the overall budget. Clearly and professionally convey information and ideas to individuals and project teams in a variety of situations; communicating in a focused and compelling way that drives others' thoughts and actions. Maintain financial data and supporting documentation into the grants management database. Assist PIs, accountants, and project teams in regular financial reporting of the grant, monitor account activities (identifying underspending or overspending and addressing it with the team in a timely manner), provide solutions for concerns that arise. Work closely with Business and Administrative Services to ensure accuracy of monthly financial statements, invoicing, and budget transfers.

PROJECT COORDINATION

Support and coordinate the achievement of deliverables and activities in partnership with Project Director and the Grants Office Manager for a broad portfolio of grant funded projects. Support and Coordination includes but not limited to coordination of regular recurring project meetings, attendance of agency required meetings, project reporting as required, execution of project kick off and close out, and execution and planning of specific project deliverables Creating a working knowledge of grant funding agencies and award compliance, ensure that grant statutes are followed, and the policies of the Columbus State are adhered to. Monitor sub-award fiscal activity. Support the team during desk reviews and audits on projects.

Manages multiple assignments of varying complexity while meeting federal grant as well as internal regulations and procedures, with the ability to adapt to changing needs of the College and business partners. Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community. Regular, predictable, and punctual attendance is required. Other duties as assigned.

PHYSICAL REQUIREMENTS

The employee regularly exhibits digital dexterity when entering data into computer, frequently sits for extended periods of time, and occasionally stands and walks. Employee occasionally reaches with hands or arms and stoops, kneels, crouches or crawls. Employee converses verbally with others in person and by telephone. Vision demands include close, detailed vision when focusing on computer screen. Employee occasionally lifts or exerts force up to 10 pounds.

WORKING CONDITIONS

Typical office and classroom environment. Regular exposure to moderate noise typical to business offices. Must travel to various Columbus State campuses and sites.

Knowledge, Skills and Abilities:

Knowledge of: best practices in office organization and project management, including follow-up and follow-through techniques, to include Microsoft Office applications (Work, Excel, Outlook, PowerPoint).

Skill in: excellent verbal and written communication; planning, scheduling, and organizing work; application of technology and software programs; office organization; customer service; conflict resolution); application of job software including word processing and spreadsheets; creating and proofreading standard business correspondence and other written documents; creating and reviewing functional report formats; documenting office procedures.

Ability to: demonstrate outstanding communication skills, including the ability to communicate effectively orally and/or in writing to diverse audiences, including staff, and administrators; develop and maintain effective working relationships with associates, vendors, and general public; work creatively and independently in a team environment; manage and prioritize multiple, highly complex projects involving a number of creative and technical individuals; demonstrate initiative; coordinator multiple activities and tasks; exhibit flexibility in work schedule and job tasks; originate correspondence; maintain confidential and sensitive information; use good judgement; excellent listening skills; lead and/or participate in collaborative work as required.

Minimum Qualifications:

Bachelor’s degree in a related discipline. At least 2 years of strong customer service experience. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). An appropriate combination of education, training, coursework and experience may qualify a candidate.
