Part-time, up to 19.5 hours per week. Hours worked between 8 a.m. and 4:30 p.m. M-F.

Hours can be distributed through the week.

No more than 8 hours per day. Expect to work from home until COVID protocols change. (Computer provided).

Final schedule to be agreed upon by the employee and the executive director.

Purpose of Position

To provide administrative assistance and support to the Director of the Scripps Howard Center for Civic Engagement. Includes general secretarial duties and budget maintenance for the office.

This is a one year contract position. The contract may be renewed.

Primary Responsibilities

The general duties for position are typical of a secretarial position and include:

- answering the telephones
- greeting visitors
- scheduling appointments
- handling office correspondence
- assisting in monitoring budgets including
tracking and creating monthly budget reports
-processing budget/payments in NKU’s enterprise system ( SAP )
- ordering and maintaining office supplies
- opening and distributing the mail;
- establishing and maintaining the office files
- arranging travel (reservations, registrations,
etc.)
- assisting in updating the Center’s website
-Working with the director to maintain the budget for the Center is a key duties and includes these specifics:
- Maintaining the office budget and reconciling monthly statements
- Processing purchase orders, travel authorizations, copy center requests, printing services requests and budget transfers

- Provide occasional secretarial assistance to the director for presentations, workshops, etc.
-Management of programmatic records.

The ideal candidate for this job is someone looking to stretch. The Center for Civic Engagement is developing new programs and expanding its reach across campus and in the community.

While the primary purpose of this job is office-oriented and operational, this also is an opportunity to be part of NKU’s community stewardship mission as the Center fosters public dialogue on current events and issues, and encourages public engagement on campus and in the community.

Qualifications

High school diploma and 3 years of related experience required. Working knowledge of Microsoft Office (Word, Excel and PowerPoint). Experience with SAP (the system NKU uses for financial tracking and transactions) helpful.

Experience working with nonprofits, with event planning and/or with public issue and policy matters would be a plus.
