Job Description

Title: Executive Assistant to the VP and AVP of Development Date: February 2021

Function: To provide executive assistance to the Vice President for Development and AVP for Development, and serve as a member of the leadership team for the Development and Alumni Division.

Responsibilities:

Initiate donor visits and other appointments for the VP and AVP, (i.e., interviewing callers, making proper referrals, preparing materials and making arrangements for meetings as required for internal/external appointments.)

With discretion and sound judgement, work with significant donors, Trustees and key volunteers to initiate appropriate cultivation, solicitation or stewardship actions on behalf of the Vice President or AVP. Coordinate actions with the Development Operations team, research, prospect tracking, stewardship and other colleagues. Manage the overall division budget, monitor the Vice President, AVP and Campaign budgets, process paperwork for payment, review budgets versus expenditures, prepare budget adjustments as required, and assist with compiling, analyzing budget information and making change recommendations. Serve as member of the Leadership Team of the division to manage the initiatives and work of the division, and coordinate the Professional Development Committee to help ensure ongoing staff engagement and development.

Support Trustee and key volunteer committees including External Engagement and Campaign Steering committees including: initiate and prepare reports, schedule meetings, coordinate all activities with meetings; (i.e., location and set up for meetings, luncheons, dinners, refreshments for meeting; agendas, handouts, guests, etc.); prepare minutes.

Establish, coordinate and maintain the Vice President and AVP calendars for meetings and functions, including board meetings, board committee meetings, campaign committee meetings, Development Division meetings and Leadership Team meetings. Prepare and maintain minutes as needed. Track and carry out functions needing action.

With the Campaign Manager, ensure implementation of the campaign plan including significant interaction with campaign volunteers, meeting schedules for deliverables, assisting with special projects, event coordination, and scheduling. Initiate action on mail, phone calls and emails as needed.

Utilize division database (currently Blackbaud) and other resources to prepare and utilize reports such as donor reports, fundraising reports, individual fund reports and similar.

Support travel for Vice President and Associate Vice President by:
  • Schedule trips, process travel requests and vouchers and track expenditures
  • Arrange with donors, airline and hotel reservations, prepare a detailed itinerary, secure needed research (provided by director of research), and include appropriate gifts for the prospects/donors.
  • Coordinate presidential and other senior leadership development travel in conjunction with the President's office and/or other campus partners
  • Maintain files for all travel by updating the development database and entering actions and donor reports as appropriate

Relationships:

Works with members of other departments, Trustees, donors, volunteers, public, co-workers, to exchange factual information and explain rules, regulations and practices and to plan, coordinate, solve problems or present information related to mutual goals.

Daily contact with members of own work unit and immediate supervisor, donors, trustees, prospective donors, volunteers, administrators, and staff to plan, coordinate, solve problems or present information related to mutual goals.

Responsibility for Final Decisions:

Responsible for initiation and completion of own work. Initiate work; anticipate needs, and make independent decisions. May assist or instruct others doing similar work including the development assistant, other development/alumni staff, student workers.

Tasks involve multiple interpretations of data and/or procedures to address problems or situations that are not clearly defined, and complex, multiple procedures with interrelated processes and steps that require sound judgement. Work involves non-routine and diverse work not defined by procedure.

Errors may be detected within the department or section in which they occur, but may affect the work of others within the unit to trace errors and make corrections.

Reports To: Vice President of Development.

Work is performed independently except where the interpretation of law, policy, rule, complex procedure to request for exception is required.

Education/Skill Requirements:

High schools diploma and 6-7 years experience in office environment or Associate Degree with 3-5 years experience in an office environment.

Ability and willingness to communicate effectively with others, to anticipate and initiate tasks, and to coordinate and prioritize high-level work. Ability and willingness to exercise discretion and independent judgement with respect to matters of significance for the VP, AVP and the Development Division.

Experience in office software, including word processing and spreadsheets required. Ability to prepare and edit documents.

Work Conditions:

Work is performed under usual office conditions.

Work involves frequent interruptions and the need to handle multiple tasks.

Work involves meeting multiple deadlines and work hours occasionally require flexibility.
