General summary/purpose:
The Medical Training Coordinator provides direction, leadership and day-to-day management of educational and departmental activities to include administrative support to the Director of the residency training program, and educational coordination between attending physicians, residents, medical students and institutional and regulatory administrative offices. The coordinator must demonstrate initiative, resourcefulness, flexibility, excellent interpersonal skills, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the division and of the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely work flow. Must possess a willingness to initiate work, generate ideas, learn new systems, and maintain organization and interest in a quality product.

Duties and Responsibilities:

  • Oversee that ACGME program compliance guidelines are being met.
  • Act as liaison for faculty, applicants and staff within the division and colleagues at the University and elsewhere.
  • Educate and inform faculty and division personnel about credentialing policies and
  • Procedures.
  • Provide instruction and answer questions relating to the residency program within the
  • division/department.
  • Oversee the maintenance of existing residency database.
  • Maintain faculty, resident and applicant records/files for the division.
  • Schedule and coordinate interviews, breakfast, lunch and dinner for the residency program candidates with faculty and current residents.
  • Collect applicant interview evaluation forms.
  • Prepare spreadsheet of applicant scores/data for residency match meeting.
  • Initiate and manage credentialing process of Child & Adolescent Psychiatry residents.
  • Initiate and manage credentialing process of post-doc fellows, observers, and trainees.
  • Monitor online submission deadlines for AAMC, ABPN, ACGME, ERAS, NIH, and
  • NRMP annual surveys and initiate updates.
  • Administer New Innovation evaluation system for Child & Adolescent Psychiatry residents, faculty, medical students, divisional conferences, and didactics.
  • Administer of Attendance Tracking System.
  • Administer New Innovations for duty hours tracking and didactics attendance for residents.
  • Initiate process visa applications for current trainees, postdoctoral fellows, visiting faculty, trainees, and new recruits.
  • Coordinate visa applications with Office of International Services.
  • Verify credentialing for outside rotators, e.g. medical students and residents.
  • Manage online Freedom pay account for resident meals and applicant lunches.
  • Manage credentialing of faculty appointments/re-appointments for the division.
  • Maintain ACGME and ABPN tracking system for residents.
  • Initiate preparation of graduation certificates, information and submission.
  • Coordinate graduation events.
  • Manage conference room scheduling.
  • Help prepare other ACGME-required documents, including the annual program evaluation/updates.
  • Administer General PRITE and Child PRITE exams.
  • Oversee compliance of paperwork for residents doing Board exam applications.
  • Oversee resident pager issues.
  • Maintain records and room set up for Divisional Conference and Resident Didactics.
  • Oversee preparation of CME application compliance and approval and insure guidelines are met.
  • Maintain paperwork for CME credits for division faculty.
  • Maintain attendance records for resident seminars.
  • Liaison with chief residents for ongoing meetings and other divisional issues.
  • Process and maintain paperwork for non-JHU medical students.
  • Order luncheons for resident meetings and postdoctoral fellow interviews.
  • Arrange other program/divisional events, such as orientation activities and retreats.
  • Perform miscellaneous related duties as assigned.

Minimum qualifications (mandatory):

  • High School Diploma/GED.
  • 3 years of progressively responsible administrative/office experience, preferably in an academic setting.
  • Additional education may substitute for some experience to the extent permitted by the JHU equivalency formula.

Preferred qualifications:

  • Bachelor’s Degree.

Special knowledge, skills, and abilities:

  • Ability to work independently.
  • Attention to detail a must. Good proofreading skills.
  • Excellent oral communication skills to deal effectively within and outside the department.
  • Excellent written communications skills in a variety of forms, print material, website content, speeches, and publicity materials.
  • Skilled in computer programs such as Microsoft Word, Outlook, PowerPoint, Excel and Publisher.
  • Enthusiasm and willingness to learn about the work of the department as well to acquire new technical skills as needed.
  • Excellent organizational skills to work effectively in an environment that requires balancing multiple assignments.
  • Ability to interact effectively with individuals at all levels and from diverse cultures.

Any specific physical requirements for the job:

  • Able to sit in a normal seated position for extended periods.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
