The University of Maryland, Baltimore (UMB), School of Medicine, Department of Medicine is currently recruiting for a Business Operations Specialist for two of its Divisions: (1) Gastroenterology & Hepatology and (2) Rheumatology & Clinical Immunology.
The Business Operations Specialist will provide financial, administrative, and research support for faculty and fellows, as well as serve as a divisional liaison with the Department of Medicine, UMB Central offices, and external Sponsoring agencies and vendors.

Essential Functions:
  • Coordinates the creation, maintenance, and reconciliation of accounts (sponsored and non-sponsored); responsible for maintaining good financial data files
  • Oversees procurement activities for both divisions related to their clinical practices, research portfolios, and fellowship programs.
  • Assists in preparing applications or renewals for grants, contracts, and clinical trials.
  • Assists with preparing budget amendments and maintains records of salary and FTE encumbrances.
  • Assists investigators in administering grants and contracts in accordance with University policies and sponsor’s requirements regarding records, reports, controls, and conditions regarding the expenditure of funds.
  • Authorizes and monitors the payment of invoices; resolves discrepancies with vendors or service providers.
  • Manages two P-card accounts, including purchases, monthly reconciliations, and enforces compliance with relevant UMB policy.
  • Monitors coordinates division maintenance and service contracts on equipment, instruments, and facilities and works with Department and UMB Central Finance teams
  • Prepares activity, financial, and annual reports or analyses (sponsored and non-sponsored).
  • Works closely with the Division Administrator, Fellowship Coordinators, and research staff
  • May be asked to produce and analyze sections of special projects or participate in additional divisional and administrative services, as needed.
  • Performs other duties as assigned.
  Qualifications    Education: Bachelor's degree in business, accounting, or a related field. Master’s degree preferred.
Experience: Three (3) years of business related experience to position required, with at least one (1) year experience in at least two of the following: human resources, payroll, finance, facility, or research administration.  Prior experience with sponsored project or grants preferred.
Other:  May consider a combination of directly related experience and education.   Preferred Knowledge, Skills and Abilities:
  • Strong background with Quantum Financials/Analytics, eUMB, travel, reimbursements, foundation requests, clinical billing, and P-Card use preferred.
  • Robust skills in relevant PC applications (e.g. MS Office applications, such as Excel, PowerPoint; teleconferencing software, such as Zoom and Cisco WebEx).
  • Skill in using finance- and research administration-related programs and databases such as Quantum, Kuali Research, UMBiz, and budget reporting applications
  • Ability to work independently under minimal supervision.
  • Skill in exercising initiative, resourcefulness, and sound judgement with an ability to solve problems and make decisions.
  • Ability to multitask and prioritize by ongoing, and new projects, necessary to implementing a specific organizational program.
  • Skill in communicating efficiently and effectively both orally and in writing with a variety of people internal and external to the organization.
  • Persistent in continuously seeking to improve the quality of services and processes.
  • Skill in evaluating budgetary requests, relevance to research project goals, and concurrence with grant standards and regulations.
  • Skill in applying basic analytical skills to review expenditures and revenues, prepare projections, and reconcile accounts.
  • Skill in organizing and executing multiple assignments under specific time constraints.
  • Ability to understand and interpret University policies and procedures in the areas of finance, human resources, payroll, purchasing, and sponsored programs.
  • Ability to prepare and present budgetary, accounting, and other reports and schedules.
  • Ability to communicate effectively orally and in writing.
  • Ability to operate office equipment, computers, and related software.
  • Ability to handle sensitive and confidential matters with discretion and tact.
