Specific Duties & Responsibilities
For Executive Vice Dean for Finance and Administration:
- Manages the EVD’s calendar, daily appointments and travel arrangements.
- Initiates procurement transactions and supply orders.
- Collects information to assist with budget development and projections.
- Manages document retention and filing (electronic and hard copy).
- Drafts/circulates communications on behalf of the office of the EVD.
- Assembles text and data into documents; produces and distributes documents.
- Assists in preparing for meetings to include review of briefing documents and preparation of materials.
- Composes and manages minutes for EVD meetings, as needed.
- Enables remote decision making to keep projects on schedule.
- Identifies and resolves administrative problems and issues.
- Maintains office equipment; serves as liaison for the office with IT, facilities and other school departments.
- Orchestrate the Annual Staff Recognition Event for the School
- Coordinate breakfast/lunch for special meetings
- Other
administrative functions and special projects as
assigned.
For the Director of Finance:
- Manages the Director of Finance’s calendar, daily appointments and travel arrangements.
- Assists in preparing for meetings to include review of briefing documents and preparation of materials.
- Manages document retention and filing (electronic and hard copy).
- Enables remote decision making to keep projects on schedule.
- Staffs the Finance Department front desk. Greets and handles visitors.
- Answers incoming phone calls, screens callers and relays messages.
- Opens, routes and manages incoming correspondence.
- Develops and recommends administrative processes and assures efficiency in general office operations.
Minimum Qualifications(Required)
Bachelor's degree.
Five (5) years’ experience providing progressively responsible administrative support with experience working on a wide variety of special projects and special assignments.
Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by theJHU Equivalency Formula:18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.Special Knowledge, Skills, and Abilities
This position requires a high degree of professional customer service, excellent communication skills, and considerable independent judgement.- Must be capable of handling matters of sensitive and confidential nature.
- Knowledge of personal computer (MS Word, Outlook, Excel).

Failure to meet this requirement may result in termination of employment.
The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
