General summary/purpose:

The Program Administrator will work in close collaboration with the AlignMNH team and representatives from other Jhpiego departments (e.g., Contracts Management Compliance Division [CMCD], Travel, Procurement, Global External Communications Office [GECO]) to provide overall administrative and coordination support to the AlignMNH project.

AlignMNH seeks to contribute to making sustainable progress towards SDG-era targets aimed at improving maternal and newborn health (MNH) and well-being in low and middle-income countries (LMICs). Inclusive of a bi-annual conference series and an online Knowledge Hub and guided by an international Steering Committee of 20 thought leaders, AlignMNH will enable the MNH community to effectively and efficiently share new evidence, identify opportunities and gaps, track progress, cultivate supportive networks, and galvanize energy to accelerate progress.

Specific duties & responsibilities:

  • Management and Administrative Support
  • Provide administrative support including procurements, establishing and processing contracts, processing modifications, processing consulting agreements and ensuring timely payment of all vendors. Support travel arrangements for Steering Committee members and project staff (as needed).
  • Arrange internal and external meetings, prepare meeting agendas, take meeting notes and circulate key next steps and action items. Follow up as needed on action items to ensure timely completion of key activities.
  • Maintain project documents and filing systems, including notes and other materials to ensure they are stored properly and accessible to project staff.
  • Provide logistical and administrative support for Steering Committee meetings, including managing task lists, invites, and setting up and managing Zoom meetings. Support Steering Committee note taking. Draft activity budgets and support overall budget management
  • Draft and edit project documents and materials as needed
  • Perform other management and administrative duties as assigned

Knowledge Management Support

  • In collaboration with the Sr Knowledge Management Officer, provide support for ongoing maintenance and management of the AlignMNH Knowledge Hub including routine site maintenance, maintaining content on the site.
  • Participate in discussions and activities related to the ongoing development and build out of the Knowledge Hub.
  • Conference and Event Support:
  • In collaboration with the AlignMNH Events and Conference Manager, provide coordination, administrative and logistics support for events and biannual international conference including procurement, travel, and supporting logistics before during and after conferences.
  • Provide support to the functioning and operation of various conference committees, including attending and scheduling meetings, taking notes, keeping track of key tasks and following up on the status of activities as needed.

Minimum qualifications (mandatory):

  • BA or equivalent with 2+ years program and administrative experience
  • Interest and experience in public health preferred
  • Superior organization and time management skills and ability to work in a complex environment with multiple and competing tasks
  • Track record of strong decision-making skills, taking initiative and follow up
  • Team player with the ability to interact and communicate skillfully and diplomatically with numerous counterparts, both domestically and internationally with diverse groups
  • Strong verbal and written communications skills
  • Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups
  • Superior MS Office 365, Word, Excel, PowerPoint skills required
  • Ability to travel internationally
  • Fluent in written and spoken English

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
