Position Summary

A very busy, high traffic office. Provides supervision of the day-to-day operations of Admissions Office, most specifically scheduling, training and oversight of full- and part-time staff and student workers in Admissions office. Has a dual reporting role to the Director of Admissions and the Manager of International Student Services. Processes international students’ documentation according to federal regulations; maintains student records and files. Maintains an open and approachable manner and confidentiality. Functions as a back up to both the director and manager positions.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
I. INTERNATIONAL STUDENT SERVICES
1. Provide pre-admission advising, outreach, and support to all prospective international students. Communicate admissions requirements to prospective international students and their sponsor(s) through individual appointments, phone calls, Skype, Zoom/Microsoft Teams, social media and/or e-mails. Follow up on leads collected electronically and by the Manager, International Student Services during recruitment trips.
2. Serve as a Designated School Official ( DSO ), interacting with SEVIS, SEVP, and related government agencies. Provide accurate record keeping/updates related to immigration matters. Collaborate with the Primary Designated School Official ( PDSO ) and other DSO, faculty, and staff as needed. Advise international students concerning USCIS regulations.
3. Certify international admission documents, including financial documents, test scores, and transcripts. With the assistance of the Manager, International Student Services, determine admission eligibility and prepare and authorize I-20 forms.
4. Assist the Manager, International Student Services with the planning and implementation of international student procedures. This includes assisting with the implementation of office processes, orientation presentations, and other activities related to international student assimilation.
5. Recruit international students within the United States, by coordinating high school visits to private high schools and boarding schools within the state of Illinois. Coordinate and assist with staffing virtual recruitment fairs. Some international recruitment travel may also be necessary, in the absence of the Manager, International Student Services or when the event warrants multiple admissions representatives to be present.
6. Assist the Admissions frontline staff in fielding questions about non-U.S. citizen residency and help applicants determine the proper type of application to complete. This may include advising prospective applicants in other statuses on whether or not to pursue an F-1 student visa. Ensure all other various non-resident alien student applications are processed accordingly within the college’s ERP (student database).
7. Perform other related duties as assigned.

II. ADMISSIONS
1. Assist the director in planning, communicating, and implementing procedures for the admission of students to the college. Carry out established policies and procedures with admissions staff and other departments
2. Assist the Director in preparing the annual budget, monitor budget expenses and maintaining the office admissions calendar. Prepare payroll, ad-hoc reports, and departmental statistical reports,
3. Oversee, supervise and evaluate the full- and part-time clerical staff and student workers. Delegate work as necessary. Interview, hire, and supervise student workers. Assist the Director with interviewing and hiring of full and part-time clerical staff.
4. Assist Director with planning, development and implementation of departmental training processes pertaining to students, technology, etc.
5. Oversee campus tour scheduling, training of student guides and tracking of tour data.
6. Review admissions and international offices’ procedures and recommend changes as necessary.
7. Assist in processing of recalculations for residency, charge-backs, cooperative agreements, and in-district employment. Prepare cooperative agreement reports each semester and distribute to participating colleges. Serve on college committees; attend department meetings and training as assigned.
8. Perform other related duties as assigned.
