Position Description

The medical receptionist is responsible for answering incoming calls, directing calls to appropriate staff, greeting and checking in patients for office appointments - including patient paperwork, scanning insurance cards, entering all demographic information into the electronic health record, entering insurance referrals into the Electronic Health Records (EHR), scanning and filing paperwork as needed, and working closely with physicians and staff.

This position is based at PCOM (Philadelphia, Pennsylvania).

Essential Duties and Responsibilities

Duties and responsibilities include (but are not limited to) the following:

  • Will maintain and adhere to PCOM monthly staff schedules including Saturday rotation.
  • Will comply with PCOM office policy in regards to leave requests (time off) and approvals.
  • Greets and directs all patients within the practice.
  • Obtains patient’s demographics and verify insurance information at each visit.
  • Enrolls patients into patient portal.
  • Obtains necessary patient information to meet current Federal guidelines and Meaningful Use guidelines for the EHR.
  • Will scan and file all paperwork into the patient’s EHR, including but not limited to: patient authorizations, labs, specialist reports, diagnostic testing reports and any other administrative paperwork.
  • Assists with the proper maintenance and accurate documentation in the patient’s chart through the EHR system.
  • Obtains patient authorization for medical records release (HIPAA compliance).
  • Monitors patient flow by knowing where patients are at all times.
  • Assists with office paperwork (referrals, pre-authorizations, billing) and other duties of the reception/ front desk function.
  • Schedules any necessary follow up appointments or ancillary studies for patients. Document in patient’s chart when tests are ordered and obtain results if applicable for physician review.
  • Monitors and reviews patient schedules for next-day appointments, call and confirm appointments and verify insurance.
  • Identifies and resolves minor patient billing complaints.
  • Assists in ordering, receiving, and stocking office supplies; advises office manager of supply needs.
  • Maintains cleanliness of office waiting room.
  • Refers patient relations issues to the office manager.
  • Maintains confidential information of the workplace according to the policies and procedures of the institution.
  • Provides “patient-focused” services in a caring, pleasant, helpful and courteous manner.
  • Exhibits excellence in positive customer relations and provides quality services and exhibits a positive attitude and emotional maturity by remaining calm and controlling emotions during challenging situations.
  • Provides cross-coverage within and possibly to other practices within PCOM.
  • Maintains full compliance with state guidelines and requirements as well as strive to exceed PCOM’s policies, guidelines and mission for excellent patient care and safety.
  • Performs other duties as assigned by the office manager or medical director.


Position Requirements
*Applicants must be authorized to work in the U.S. and pass a criminal background check. Education
  • High school diploma, or GED equivalent required.
Experience
  • Minimum three years experience in a fast paced ambulatory healthcare setting.
  • EHR experience preferred; NextGen experienced highly preferred.
