General Summary/Purpose

TheSr. Administrative Coordinator, HR Focuswill support the Brain Injury Outcomes Services (BIOS) Research Program and Clinical Trials Unit, which manages multi-center, 20+ million dollar federally funded clinical trials and multiple site-specific pharmaceutical sponsored trials. Provide support to the Division leadership.

The Sr. Administrative Coordinator will provide administrative and project support to the leadership of the Division of Brain Injury Outcomes (BIOS) with a focus on human resources activities and high-level administrative support critical to the general operations of the department. This position is responsible for a wide variety of job duties including acting as a HR information resource, scheduling, interviews, assisting with new hire contacts, new staff onboarding, training, benefits coordination, training compliance tracking, and other human resource related tasks. This person is the primary point of contact for information and assistance throughout the interviewing and hiring process. This position will coordinate internal and external meetings; generate reports and perform basic analysis; monitor and support tasks and outcomes that are part of business plans. The Sr. Administrative Coordinator must be able to prioritize multiple tasks, communicate effectively and collaborate with other members of the BIOS team, have the ability to work independently, coordinate special events and department-wide activities.


This high-level position works directly for the division Leadership.

Specific Duties & Responsibilities

  • Ensures smooth management support for hiring processes and new-hire orientation
  • Helps facilitate interviews and liaise with hiring managers, human resources department, and compensation to support relevant HR related tasks
  • Assists in daily coordination of human resources activities, including scheduling, reminders to staff about upcoming training; coordinating, tracking and shipping of office equipment to on and off-site
  • Assists with the development of new-hire onboarding plans for new team members
  • Conducts and coordinates new hire training and documentation of such training
  • Tracks and monitors open and closed requisitions
  • Ensures staff required training compliance across the Division
  • Provides administrative support for divisonal programs and events, i.e., staff recognition program activities; holiday gatherings, etc.
  • Represents division administrators in appropriate circumstances within the scope of the position’s responsibility and purview.
  • Identifies and resolves administrative problems and issues in the division. Develops and recommends administrative processes/procedures to support efficiency.
  • Performs other duties as required


Minimum Qualifications(Required)

  • High School Diploma/GED
  • Five (5) years progressively responsible administrative experience.
Additional education may substitute for required experience, to the extent permitted by theJHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Excellent customer service and strong communications (oral and written) skills are required

  • Strong attention to detail and problem-solving abilities required

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
