Assistant Director of Financial Aid



A successful candidate will play an active role in FMU's existing academic success. R esponsible for improving student financial services and responsiveness by creating a flexible, information-abundant, compliant, customer service environment that addresses the needs of students, parents and the University. Ensures regulatory compliance for all activities relating to Student Financial Services for the University.

Essential Functions:

Under the direction of the Director of Financial Aid, the Assistant Director, assists in overseeing the day to day operations of the Financial Aid Office, ensures quality customer service as well as the efficient administration and delivery of financial aid programs. The Assistant Director oversees one or more sections of the department; participates in the development and implementation of policies and procedures in compliance with federal Title IV and state financial aid regulations and university policies.

Additional duties and responsibilities include:

  • Assist with the overall supervision of the office staff. Assume responsibility for management of the office in the absence of the Director.
  • Using PowerFAIDS and other software programs to review, evaluate, verify and award financial aid to eligible applicants.
  • Review, correct and request files for review which require “professional judgment” evaluation.
  • Counsel and inform students and parents of financial aid programs and guidelines.
  • Assist with the verification of student class attendance prior to crediting and disbursement of aid, including review of downloaded student document and processes state and federal Student Aid Report (SAR) corrections toward awarding.
  • Assist with the process of identifying and calculating federal Return of Title IV and state funds and post-withdrawal on those affected.
  • Assist with the annual calculation of continuing students’ satisfactory academic progress (SAP), including the review and response of student SAP appeal for aid reinstatement.
  • Query reports for analysis, reconciliation and awarding through PowerFAIDS and Jenzabar. Include assisting with the extraction of statistical data for planning and reporting. Conduct internal audit of awarding processes and practices.
  • Assist with PowerFAIDS System annual setup.
  • Assist with developing and updating Office of Financial Aid policies and procedures.
  • Represent the Financial Aid Office at college events such as financial aid conferences, student orientation, county college sector meetings, on-campus committees and workgroups.

  • Ability to handle information of sensitive and confidential nature in the utmost professional manner. Demonstrate a high level of professionalism, initiative, resourcefulness, and personal accountability.
  • Effective analytical and decision-making skills. Excellent communication (oral and written), organizational, and time management skills. Effective interpersonal skills and ability to work with diverse constituents.
  • Attention to detail and adaptability to a changing environment is extremely important as well as dependability.
  • Moderate physical activity. Requires handling objects of average-weight up to fifty (50) pounds or standing and/or walking for more than four (4) hours per day.

Qualifications:

  • The position requires a bachelors degree from an accredited institution in an appropriate area of specialization and three to five years of financial aid and customer service experience. Higher education experience preferred.
  • Prior management experience is preferred.
  • Preferred systems: PowerFAIDS, PowerCampus and Jenzabar.
  • Knowledge of financial aid management systems and/or student information systems.
  • Ability to work under pressure and in fast paced environments.
  • Attention to detail and adaptability to a changing environment is extremely important as well as dependability.
  • Proficiency in MS Office Suite, as well as knowledge and understanding of the organizational structure, workflow, and operating procedures.
  • Flexibility to work outside of normal business hours.
  • Pre-Employment screening is required: criminal background check and drug testing.
