Job Title:  Registrar

Classification:  Exempt, full-time, benefits eligible staff position

Reports To: Dean of the College

Job Summary/Objective:

The Registrar supports the instructional mission of the College and is responsible for all facets of the operations of the Registrar’s office.  This position provides leadership and oversight, in cooperation with other student services offices, for the institution’s administrative software and strategic operational supervision of student records and registration, documents, and systems support.  The Registrar takes a lead role in implementing and maintaining new applications of technology and the upgrading/enhancement of existing systems while providing quality assurance and integrity of data.  The Registrar also works closely and collaboratively with other administrators to ensure compliance to existing policies and procedures, and analyzes and interprets data to shape institutional policies, procedures, and strategic planning.

Expected Work Hours: Full-time; Monday-Friday, 8:30 am to 5:00 pm with some weekend and evening hours

Supervisory Responsibilities:  Supervises Assistant Registrar

Essential Responsibilities:

  • Foster a student-centered approach to student records with an emphasis on providing exemplary service to all constituents
  • Establish, lead, and manage all operational activities related to student records and degree progression, within standard privacy guidelines, including registration, academic progress, transcripts, degree conferral, enrollment status changes, degree and enrollment verifications, and class schedules
  • Interpret academic policies; and provide guidance and oversight to maintain the professional integrity of the office
  • Provide leadership in developing and implementing various modules of the Banner student information system to ensure responsiveness to institutional needs and requests
  • Complete and distribute reports relating to enrollment, student retention, and degree completions
  • Maintain historical records of enrollment, retention and degree completions
  • Provide academic counseling for students and prospective students on transfer credit and degree completion
  • Assist students with finding appropriate courses offered elsewhere, including study abroad programs, to transfer back for degree requirements
  • Formulate transfer credit equivalencies in consultation with academic departments and publish transfer credit equivalencies for the Virginia Community College System
  • Support and supplement faculty advising
  • Work collaboratively to maintain a yearly academic calendar, an effective records/registration system, and a faculty/staff SIS training system
  • Produce reports, with support from Technology Services, from student information system for internal and external constituencies
  • Update the college catalog and ensure that archived catalogs are made available
  • Supervise compliance for Veteran’s Administration education benefits
  • Produce and submit external reports including Veteran’s Administration and National Student Clearinghouse
  • Assist the Dean of the College in policy decision making, including policies for articulation agreements
  • Coordinate with Financial Aid and the Business Office to provide accurate and timely student services
  • Coordinate with the Dean of Admissions to provide information to prospective students
  • Attend and participate on faculty and staff committees, including Curriculum Committee, Eligibility Committee, Orientation Committee, Calendar Committee, ad hoc committees, and faculty meetings
  • Attend conferences and workshops for registrars for administrative software training and on-going education on compliance of legislative and external reporting requirements
  • Other duties as assigned

Required Qualifications:

  • Bachelor’s degree with at least 5 years experience in a Registrar’s Office or other relevant academic services area
  • Technological sophistication in student information systems and database management
  • Experience in data analysis and reporting products such as Argos, Microsoft Access, Microsoft Office
  • Strong analytical, organizational, interpersonal, written, and oral communication skills; extraordinary attention to detail
  • Demonstrated leadership skills; ability to create and maintain collaborative and productive relationships with many campus departments
  • Exemplary judgment and discretion; experience in handling confidential and sensitive information in a professional manner
  • Ability to work well under pressure and to successfully manage multiple projects and deadlines simultaneously

Preferred Qualifications:

  • Bachelor’s degree in Computer Science or working knowledge of Banner student information system
  • Working knowledge of catalog content management system, preferably Acalog
  • 7+ years of progressively responsible experience in a comprehensive Registrar’s office

Travel:  Occasional travel (including overnight) for professional meetings and conferences
