Job Description:

The Assistant Director of Gift Planning is responsible for the cultivation and solicitation of a portfolio of 50 prospects and has principal responsibility for the oversight of multi-channel marketing, innovative messaging and the creative stewardship of planned gift donors. Reporting to the Director of Gift Planning, this position serves as a planned giving gift officer while assisting with and/or coordinating the processing, administration and the reporting to donors of planned gift commitments; and working with Advancement Operations, oversees gift recordkeeping and program reporting. Position will liaise with appropriate campus offices, Advancement Operations, Business Office, Treasurer’s Office and General Counsel on planned gift commitments and mature gifts, and with the charitable portfolio investment manager/custodian.

Essential Functions:

  • Manages and grows an assigned portfolio of 50 constituents.

  • Meets performance metric of substantive contacts for qualifying or soliciting donors as agreed upon on an annual basis.

  • Achieves annual fundraising goal for individual gifts, i.e. current use gifts, reunion giving, endowed funds, and planned gifts, as agreed on an annual basis.

  • Coordinates and executes multi-channel marketing and messaging to planned gift prospects, donors, and professional advisors.

  • Maintains archival records of planned gifts in The Raiser’s Edge, PaperSave or other relationship management system in electronic format.

  • Coordinates periodic reports, income distributions and communications with donors.

  • Assists the Director of Gift Planning in managing a dynamic list of planned gift prospects including identification, cultivation, solicitation and stewardship of planned gift donors.

  • Plans and executes enhanced stewardship activities on and off campus for the Doremus Society, W&L’s planned giving recognition, including individual donor meetings for solicitation and stewardship, periodic communications, virtual & in-person seminars, and receptions.

  • Coordinates the preparation and filing of required state charitable gift annuity state filings.

  • Participates as a contributing member of University Development, and the broader University Advancement team, in furthering Washington and Lee’s mission.

  • Other related duties as assigned.



Minimum Qualifications:

The Assistant Director requires a bachelor’s degree and experience working in development, preferably in a higher education setting. Occupants of this position should have and be able to demonstrate: superior organizational skills and attention to detail; a strong customer service orientation; ability to deal effectively and discreetly with donors, colleagues and allied professionals; excellent oral and written communications skills; a commitment to exceptional job performance and teamwork; merit great personal trust and be capable of keeping highly confidential information to himself/herself; and, appreciation of and respect for Washington and Lee’s traditions and values to function effectively in this position. Preference in hiring will be given to candidates with development communications, business development or planned giving experience.

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Work Schedule: Monday - Friday, 8:30 a.m. - 4:30 p.m. with occasional evening and weekend hours.
