Embry-Riddle Aeronautical University’s Prescott, Arizona campus is hiring a Summer Programs Manager to support the Summer Programs Department. Embry-Riddle's Prescott Campus is respected worldwide for cutting-edge instruction and training for tomorrow’s aviation, aerospace, security and intelligence leaders. Prescott is a mile-high city and its climate reflects seasonable weather excellent for flying. Daytime averages are 80°F in the summer and 45°F in the winter. At 5,000 ft. above sea level, it boasts a mild climate, clean air, pristine wilderness areas, and nearby national forests. The university is a small, private, residential university in the mountains of Arizona with approximately 3,500 students. Staff/faculty/student interaction is highly valued and is a central theme of our campus. It is located 100 miles north of Phoenix and 120 miles south of the Grand Canyon.

The position requires the knowledge of principles and processes for providing customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Communication with individuals both internally and externally is a necessary function of this position. A high degree of business acumen including the knowledge of contracts, accounting, billing, budgeting, marketing, and business communication is essential. Must possess the ability to organize, prioritize, multi-task, and work well under pressure to meet deadlines. The position also requires attention to detail, willingness to lead, offer opinions and direction, and a willingness to take on responsibilities and challenges. Skill with Microsoft Office Products is necessary; irregular job hours and overtime will be required.

- Oversees internal academic based pre-college programs and
external summer programs groups; duties to include collaboration
with ERAU faculty regarding logisticss and curriculum, venue
reservation (residence halls, athletic facilities,
classrooms/conference rooms), all applicable work orders
(custodial, transportation, logistical, media, safety, etc.) and
coordination with food service and catering.
- Draft and negotiate contracts for external summer clients.
Consult with clients in order to determine objectives and
requirements for the events to be held on campus. Determine all
safety and liability issues, including the matter of insurance,
prior to the final contract being signed by the director of
business. Complete contracts in a timely manner as well as
collection of monies per the drafted contract and return of
receipts to clients.
- Oversee and manage 12 different budget cost centers.
- Monitor event activities in order to ensure compliance with
university standards and the satisfaction of the external client.
This includes a visual inspection of all spaces to be rented to
verify they conform to the client’s requirements.
- Supervise/train 1 full time and 1 part-time staff and 48
student employees. Training must include Title IX, Minors on Campus
Policy, customer service, working with students and special needs
students, emergency response for summer camps, setting up external
training for CPR and First Aid certification and other safety
training as deemed necessary.
- Support the production and design of promotional materials
(brochures, handouts, posters, t-shirts, giveaways, etc.)
- Conduct post event evaluations on all external and internal
programs in order to determine how future events could be improved
upon.
- Represent the department at meetings, conferences, and
off-sites as needed.
- Attend camp fairs and trade shows to promote internal academic
summer programs.
