Position Primary Purpose and General Responsibilities

To provide administrative support for the Medical Physics Graduate Program and Residency Program in the Department of Radiation Oncology in order to foster productivity in both. Specific responsibilities include scheduling meetings and conference calls; coordinating classroom space; organizing rotation schedules with residents and faculty; organizing and assisting in student and resident admissions processes, assisting with course registration, documentation and procedures applicable to each program; assisting with long-range planning and establishment of program goals; ensuring programs are in compliance with policies and procedures as specified by the School of Medicine, VCU and accrediting bodies.

Minimum Hiring Standards

Associate degree preferred; high school diploma with five (5) or more years of experience in an academic setting working with faculty, residents and students may be considered. Successful work history demonstrating effective administrative skills and/or management of complex tasks. Experience with word processing, calendaring systems, spreadsheets and electronic presentations.

Knowledge: 1) University and research administration. 2) Relevant computer software programs including MS Office (Word, Excel and PowerPoint) and web-page generation software. 3) Relevant University software programs including Banner, GradTrak, Degreeworks and New Innovations. 4) State and University policies and procedures related to administration and Human Resources.

Skills: 1) High level of organization. 2) Accuracy and attention to detail. 3) High level proficiency in required computer programs.

Abilities: 1) Communicate effectively with faculty, students, residents and staff. 2) Engage in effective problem solving. 3) Function independently and demonstrate initiative. 4) Work as an effective team member. 5) Awareness of program needs, identifying and meeting continuous quality improvement.

Ability to work in a diverse environment required.

Preferred Hiring Standards

Bachelor’s degree preferred.
