The Administrative Specialist provides administrative support for specialized activities in the Newhouse School’s office of Academic Affairs, including assessment, program review, strategic planning and providing administrative assistance to the Director of Academic Operations and the Sr. Associate Dean for Academic Affairs.

Qualifications

Bachelor’s degree and 3-5 years experience in supporting senior leadership, preferably in an academic setting.

Job Specific Qualifications

Excellent computer skills with the ability to learn and navigate multiple software systems.

Sound judgment and discretion; ability to work independently and on multiple projects simultaneously.

Attention to detail and excellent organizational skills.

Responsibilities

ADMINISTRATIVE SUPPORT FOR ASSESSMENT
(Under the direction of the Sr. Associate Dean for Academic Affairs)
- Support person for Assessment. Review and maintain all assessment documentation and databases for items related to faculty affairs, and items required for accreditation.
- Review and enter all assessment information each academic year into TK20. Assist the Director of Assessment and Program review with projects as needed.
- Assist in continuing data collection, self-study projects, and official accreditation preparations for ACEJMC, which is on a six-year cycle.
- Take minutes at Assessment Committee meeting and maintain the flow of documentation to committee members and archival.
- Provide the Curriculum Specialist with any assessment driven curriculum changes or requests.

ADMINISTRATIVE SUPPORT FOR PROGRAM REVIEW
(Under the direction of the Sr. Associate Dean for Academic Affairs)
- Support person for Program Review. Review and maintain all assessment documentation and databases for items related to faculty affairs, and items required for Program Review.
- Review all documentation and archival as necessary.
- Assist the Director of Assessment and Program Review with projects as needed.

ADMINISTRATIVE SUPPORT FOR DIRECTOR OF ACADEMIC OPERATIONS
- Assist the Director with the wait list process each fall and spring. This will include monitoring the nhwait email address for questions and issues, assisting with information updates, and sending permission/denial emails to students once the Director has made decisions about submitted wait list requests.
- Work with the Director to schedule final exams each semester. All finals that will be given for our classes are scheduled manually based on university options. There are usually between 100-125 classes that have a final exam each semester.

ADMINISTRATIVE SUPPORT FOR STRATEGIC PLANNING PROCESS
- Coordinate and complete updates to the university databases (Taskstream), to reflect approved changes to the Newhouse strategic plan.
- Work with the Sr. Associate Dean for Academic Affairs and others involved in strategic planning on meetings and tasks as needed.

Assist the Director of Academic Operations and Sr. Associate Dean for Academic Affairs with other projects as needed.
