Employment Status: Temporary, “non-exempt”, part-time position through August 31, 2021 (position renewable based upon available funding, availability of work, and satisfactory job performance) .

Location: Incumbent must be able to participate in remote or on campus work depending on the directives from the CSUSB campus.

Salary: $15.00-18.00/hour

Work Schedule: Up to 19 hours per week. Typically, Monday-Friday between 8 a.m.-5 p.m., some evenings, weekends.

Typical Activities
The Administrative Assistant Reports to the Educational Talent Search Executive Leadership Team. The Administrative Assistant provides administrative support to ensure efficient operation of the office.

Typical duties include, but are not limited to the following:

  • Supports managers and employees through a variety of tasks related to organization and communication.
  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Take accurate minutes of meetings
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Responsible for confidential and time sensitive material.
  • Provides information by answering questions and requests.
  • Contributes to team effort by accomplishing related results as needed.
  • Perform all other duties as assigned.

  • Minimum Qualifications
    Education & Experience:

    • High school diploma or equivalent education required
    • 3 years of administrative assistant experience
    Knowledge, Skills & Abilities:

  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat.
  • Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
  • Applicants must possess the following critical strengths including, but not limited to reliability, attention to detail, and strong self-initiative.
  • Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
  • Familiar with a variety of the field's concepts, practices and procedures.
