Responsibilities:
The Receptionist performs two key front-line customer service duties for the Roux Institute. First, they will provide reception and phone coverage for The Roux Institute in our new campus on the Portland waterfront. They will be the first point of contact for staff, students, and guests who contact or visit the office, including prospective students, applicants, community and corporate partners. The goal is to greet, screen and welcome these guests and team members following the public health guidelines in accordance the state of Maine, the CDC and Northeastern University. In this role, they will greet, screen and admit every person who comes through the door. They will also be responsible for checking in and printing visitor badges for all guests. Second, when not greeting and screening arrivals to the campus, they will be responsible for assisting with Roux Enrollment-related tasks that may include calling prospective student applicants. scheduling meetings for applicants with enrollment coaches and performing independent research projects.

With these duties, they will be asked to handle complex and confidential situations and may be asked to assist with unexpected administrative needs on an ad hoc basis. The ability to draft and produce memos and routine research, proof-read and edit, and design and layout basic documents/presentations with graphics is a plus. Other requests may include: conducting internet research for data collection, researching travel options, and working with various university resources to ensure technical support for office equipment during regular business hours and evening classes. They will also assist with staffing meetings and classes to ensure proper setup and arrangements.

The successful candidate will be energized by being a key player in keeping the daily operations of a vibrant facility running and will be able to anticipate needs of the team to keep operations running smoothly.

Qualifications:
Bachelor's degree preferred plus two to three years of administrative experience. Must demonstrate maturity, diplomacy, common sense, close attention to detail, professionalism and a team-oriented approach and be able to handle sensitive and confidential information. Can effectively troubleshoot and resolve office technology issues. Excellent writing and analytical skills as well as strong interpersonal and communications skills are a must. Excellent computer skills coupled with the ability to conduct internet research on a variety of topics and effectively utilize Microsoft Office applications such as Word, Excel and PowerPoint, Access as well as the Adobe Suite including InDesign.
