Associate Director, Regional, Student and Young Alumni Programs

General Description:

The Associate Director of Regional, Student and Young Alumni Programs (RSYAP) is a key member of the Office of Alumni Relations team. This position manages engagement opportunities and relationship building for current undergraduate students and Homewood undergraduate young alumni (2011-2020). The Associate Director has three primary focus areas: 1) engage and steward young alumni, 2) create connections between young alumni and current undergraduate students, and 3) build awareness of alumni programs for current undergraduates. Johns Hopkins University has 10,000 undergraduate alumni that have graduated within the past ten years. Programs for undergraduate students and undergraduate young alumni support a successful transition into the alumni community. For nearly a decade, these programs have introduced current students to alumni initiatives, fostered young alumni networks in cities across the country, and built mutually beneficial connections between the two groups. These early engagement programs help drive our students’ identities as members of the Johns Hopkins alumni community, and cultivate a pipeline of lifelong alumni supporters and leaders.

The Associate Director reports to the Director of Alumni Relations and Strategy and serves as an integral part of the Office of Alumni Relations team. This position represents the university at various functions to a constituency that includes: alumni, students, parents, prospective students, and friends of the university. The Associate Director also has a supervisory dotted line to the Sr. Associate Director of Regional, Student, and Young Alumni Programs; specifically related to alumni programming efforts.This position helps to fulfill the priorities, goals and recommendations outlined in the 2020-2025 Alumni Engagement Strategic Plan.

Specific Responsibilities:

  • Provide significant personal and professional opportunities for young alumni to engage and connect with the university (30%)
    • Manage a portfolio of 3-5 young alumni communities and approximately 15 volunteer leaders in assigned regions to support the Office of Alumni Relations priorities of engaging young undergraduate alumni; support the communities through volunteer recruitment and training, and event coordination, budgeting and promotion.
    • Work with the Homewood Undergraduate Giving (HUG) team and other young alumni campus partners to solicit and steward current young alumni leaders and identify new young alumni committee leaders as needed.
    • Serve as the staff liaison for select all-alumni regional communities; areas with larger young alumni populations and serve as the staff point of contact for young alumni liaisons within regional communities or employer cohorts; assist with volunteer recruitment, training, event planning and promotion.
    • One-third of Johns Hopkins alumni reside locally in Maryland and Washington DC. Along with RSYAP team, plan and execute additional programming in these areas.
    • Continue to cultivate and strengthen our virtual and hybrid programming with new and appealing experiences to reach a wide variety of young alumni.
    • Co-manage the Early Engagement budget for all student and young alumni programs and initiatives.
    • Serve as part of a virtual program team with colleagues throughout OAR; collaborate on multi-disciplinary programming and volunteer management within specific regions.
    • Evaluate and negotiate contracts on behalf of student and young alumni programs; work closely with the Office of Procurement Services and the university’s General Counsel to minimize risk.
  • Deepen current students’ connections to the alumni community, charting clear pathways through which they will identify with – and as – engaged alumni (30%)
    • Serve as the Co-Advisor to the Alumni Student Ambassadors (ASA), a group of approximately 30 undergraduate students charged with driving connections between current students and alumni; specifically, oversee a select group of student sub-committees.
    • Demonstrate continued collaboration between ASA and the HUG’s Student Philanthropy group; initiate joint trainings, meetings, campus wide messaging, and additional data and idea sharing.
    • Through strong and efficient management of logistics, communications, and production, serve as a co-project manager for the annual Seniors and Young Alumni Symposium and the Juniors and Young Alumni Seminar. Partner with other Associate Director and Sr. Coordinator for execution, including the successful recruitment of young alumni mentors and student mentees.
    • Explore an annual program geared towards introducing first-year students and sophomores to the Johns Hopkins Alumni Association, establishing a sustainable touchpoint and increasing the visibility of student and young alumni programs.
    • Develop strong working relationships with student-centered campus partners to include Life Design Lab, Student Involvement, Parent Programs, Undergraduate Admissions, Multicultural Affairs, Athletics and Center for Social Concern, among others.
    • Initiate campaigns to update contact information for graduating seniors, young alumni, and student organizations to improve accuracy of data.
    • Develop and implement a strategy where student groups and academic departments inform Alumni Relations when alumni are returning to campus to assist with projects; use this information to improve volunteer participation and properly identify in our alumni database. Incentivize student organizations for sharing information.
    • Work with divisional partners in the Krieger School of Arts & Sciences and the Whiting School of Engineering to collaborate on programming that engages current undergraduate students and cultivates alumni prospects.
  • Identify and develop future young alumni leaders, establishing a diverse and inclusive pipeline that will cultivate and support increased alumni giving to the university (20%)
    • Identify and evaluate volunteer potential through personal visits and engagement; conduct a minimum of 8 in-person or virtual student/young alumni meetings and visits per month to meet a goal of 45-60 substantive actions per year.
    • Work with HUG, Office of Annual Giving, Office of Leadership Programs and individual schools to identify and cultivate new leads, and to assist with stewardship of existing donors, when appropriate. Serve as a primary or secondary relationship manager for key volunteer leaders within assigned regions.
    • Develop, deploy, and promote programs that support the alumni engagement strategic plan. This includes both creating new initiatives and evaluating existing ones to determine opportunities to add to, strengthen, or replace programs. This could include an increase in young alumni activities and digital programming efforts.
  • Committee Oversight and Campus Partnerships (20%)
    • Co-manage the Alumni-Student Grants program, within the Johns Hopkins Alumni Association’s Alumni Council, including communication and advertising to student groups at all 9 divisions, management of Alumni Council Committee reviewers, and effective and efficient distribution of $62,500 amongst 150+ student organization applicants annually.
    • Serve as the Office of Alumni Relations’ liaison to selected Homewood campus offices; this includes serving on task forces, search committees, attending regular meetings, and collaborating on programs and co-sponsorships as appropriate.
    • Represent Johns Hopkins University through frequent and varied interaction with key alumni leaders, university leadership, donors, faculty, and current students.
    • Develop a comprehensive understanding of the programs, volunteer opportunities, and university initiatives to develop speaking points for alumni events and individual visits.

    Qualifications:

    Bachelor’s degree and minimum of three years of related experience required. Additional experience in alumni relations, student affairs, event production and management, fundraising, volunteer management or donor relations preferred.

    The successful candidate will possess the ability to 1) manage multiple projects with critical attention to detail, 2) both manage and speak at events in a calm and professional manner, 3) oversee the set-up of events including the management of vendors and troubleshooting of barriers to success, 4) collaborate on marketing and promotional pieces to include the gathering of stories for magazine and web content and writing and design of web pages and event invitations, 5) develop a thorough understanding of the Development and Alumni Relations database system known as ALADIN; specifically running queries and reports, 6) develop a proficient understanding of the Relationship Management module and add meaningful data to alumni profiles, 7) staff regional chapter events, Alumni Leadership Weekend, Homecoming/Reunion and Young Alumni Weekend activities as necessary, 8) execute other special projects and tasks as assigned by supervisor.

    The successful candidate must have the ability to travel both locally and across the country, typically 2-3 nights per month. Note – this is contingent upon a safe return to travel and the availability of a COVID vaccine.

    The successful candidate must be able to utilize computers for word processing, mail merging, maintaining lists, updating database records, and producing various reports.

Team members must have the ability to take initiative and function independently and as part of a team as well as work in a fast-paced, creative and deadline-oriented environment.
