Position Summary:
As the first point of contact for the Dean's Office at the College of Agricultural and Life Sciences, provide high quality customer service to students, stakeholders, college, and university personnel. Provide administrative support for Associate Dean/Director UI Extension and the Associate Dean/Director Idaho Agricultural Experiment Station. Manage information and traffic flow in the dean's office in a timely and accurate manner including handling inquiries in person and by telephone, and providing information and referrals to appropriate person, department or unit. Coordinate college building access process, assisting with building security. Independently produce a variety of internal and external communication including letters, memos, emails, reports, maintenance of informational database records, and the office filling system. Maintain office supplies and equipment inventories.
Minimum Qualifications:
• Three years of progressively responsible administrative and/or management experience.
• Experience editing and writing business correspondence using proper grammar and punctuation as demonstrated in application materials.
• Experience working independently and proactively with limited supervision to solve problems and handle multiple tasks of shifting, high and competing priorities, while accurately attending to detail.
• Experience operating standard office equipment and using computer software and applications for word processing, email, internet searches, and data organization.
• Experience researching, gathering, and analyzing data, compiling and synthesizing information and drafting suggested correspondence, presentations, and reports.
• Experience maintaining confidentiality.
Preferred Qualifications:
• A bachelor’s degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
• Experience in higher education or an executive-level office in support of academic and/or business.
• Experience working with faculty, staff, public and stakeholders at all levels of the university - both internal and external.
• Experience using Chrome River, Vandal Web and/or Banner.
