- Assist department with onboarding new employees
- Coordinate the timely and accurate set up of payroll (eform processing)
- Process shopping carts in SAP, track purchasing orders, create good receipts and ensure that staff and faculty receive goods that they have ordered
- Create new vendors in SAP as needed
- Process Independent Contractor shopping carts and payments
- Obtain, distribute, monitor, and reconcile logs for gift cards on a monthly basis
- Reviews and approves procurement cards by the monthly deadline
- Provides training for staff as required on financial systems
- Work with faculty and staff to set-up Independent Contractors and verify the process is in accordance to University guidelines
- Prepare and process KB15N’s; journal entries; non-payroll cost transfers; shopping carts; on-line payments; expense reimbursements as needed
- Track consultant, vendor and sub-recipient payments against agreement ceilings/purchase order balances and communicate funding shortfalls
- Maintain adequate supporting documentation for financial transactions consistent with sponsor, University and department guidelines
- Processes journal entries and cost transfers as needed, reconciling reports and research related payroll and financial data
- Facilitate and/or produce specialized sponsored research/project reports utilizing institutional and/or departmental systems)
- Ensure proper management of all sponsored awards, by insuring all financial transactions agree with GAAP, NIH Grants Policy Statement, FDP, OMB, CAS, and University
- In conjunction with the Sr. Administrative Manager, will monitor shared workflow and provide assistance and guidance to faculty, students and staff regarding payroll
- Submit ISRs for new hires, position maintains, bonus supplements and other routine payroll functions
- Enter hours into CATS and ensures documentation is accurate and approvals are obtained
- Ensure complete and accurate personnel files are maintained
- May work in online systems for VISA requests
- Monitor E210 system for compliance
- Work with Directors office on annual faculty appointment process as it relates to payroll
- Work with academic office on post-doctoral fellowship and visiting scholar appointment process as it relates to payroll
- High School Diploma/GED
- Three (3) years of related administrative and/or budget experience
- Related coursework at the
college level may substitute for experience to the extent permitted
by the JHU equivalency
formula.
- JHU Equivalency Formula:30 Undergraduate degree credits (semester hours) may substitute for one year of experience.For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications:
- Previous payroll experience
- Work experience in a research, academic or university environment, and strong knowledge of SAP
- Proficiency in COEUS and JAWS/SWIFT

- Ability to quickly learn various computer-based applications and data analysis tools
- Strong analytical/problem solving skills
- Excellent written and oral skills and the ability to communicate effectively are essential
- Strong organizational, administrative, project management, and problem-solving skills required

- Ability to multi-task and maintain attention to detail
- Able to exercise independent judgment to resolve minor problems arising while conducting research
Schedule: Monday-Friday –8:00am-4:30pm 37.5hrs/Wk - Telecommuting until Covid restrictions are lifted

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
