The position reports to the Director of Financial Planning and Services. Incumbent will provide direct financial and administrative support to the Finance Office as well as offering operational support for the school’s Student Accounts Office (SAO).The primary duties and responsibilities of the position include:
Specific Duties/Responsibilities:Finance related (60%):
- Process, review and approve on-line payment requests in SAP.
- Review and approve all faculty and staff travel reimbursements in SAP.
- Review and approve departmental expenses on a monthly basis for approximately 30 Purchasing Card holders to ensure accuracy and compliance before monthly deadline.
- Generate complex shopping carts for purchase order requests and assist departments with shopping cart processing as needed.
- Reconcile monthly student application fees and enrollment deposits/perform cash journal entry in SAP.
- Complete transfers as needed to ensure correct expenses are charged to the appropriate accounts.
- Facilitate the approval process of all Carey contracts with the JHU Procurement department.
- Prepare and process deposit transmittals for payments received; confirm appearance in SAP.
- Process Master Data requests to create/update cost centers/internal orders.
- Process ZSRs for workflow and security access.
- Manage and maintain electronic filing system. Ensure proper recordkeeping to comply with JHU and federal audit policies.
- Communicate with appropriate internal and external administrative offices to ensure that established policies and procedures are followed. Offices include Accounts Payable, Supply Chain, Accounts Receivable, Internal Audits, Johns Hopkins University Research Administration, and other JHU departments and service centers as needed.
- Participate in the development, implementation, completion, and update of departmental policies related to fiscal and operational budget issues.
- Assist with special projects and other duties as assigned.
SAO related (40%)
- Serve as the primary Student Billing liaison, offering in-depth customer service to students and administrative offices, and maintain financial integrity of student records in accordance to FERPA regulations.
- Oversee the operations of the student accounting process to include tuition assessment, application of fees and credits, the process for collection of tuition payments, administrating the distribution of domestic (1098-T) and international student tax reports.
- Generate student accounts reporting such as aging reports, uncollectible reports, collection status reports, payment plan reports, health insurance and enrollment deposits.
- Research credit balances from the monthly outstanding credit balance report and make adjustments or issue refunds when appropriate.
- Review, verify, and close all financial transactions for batch processing, making necessary corrections. Locate missing Student Billing System transactions in SAP.
- Monitor students with LOA notices to ensure proper credit from other departments and all Financial Aid adjustments have been processed before refunding or collection of balance begins.
- Implement collection arrangement of inactive accounts and manage in-house payments. Maintain and review promissory notes for past due accounts.
- Review, approve, and post JHU staff tuition remission in Student Billing System.
- Manage and report expired student deposits.
- Prepare quarterly spreadsheets for interdivisional/external programs with split revenue with Carey.
- Produce JV uploads for tuition assistance transferred within the university and health system.
- Manage Nelnet and BankMobile database.
- High School Diploma/GED required.
- Three (3) years of related administrative and/or budget experience required.
- Related coursework at the college level may substitute for experience to the extent permitted by the JHU equivalency formula.
JHU Equivalency Formula:30 Undergraduate degree credits (semester hours) may substitute for one year of experience.For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications:
- Bachelor’s Degree Preferred.
- Prior experience with SAP and SIS is preferred.

- Must be able to set and manage multiple priorities, and respond quickly to changing needs and goals.
- Strong verbal and written communication skills with the ability to communicate effectively with faculty, staff, students and administration within the University as well as external contacts.

- Ability to analyze and interpret data and make independent decisions.
- Effective problem-solving skills and ability to reconcile financial records.
- Excellent organization skills and attention to detail.
- Knowledge and proficiency in the use of financial software applications, student billing databases, MS Excel and Word.

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
