Initial Licensure Field Placements Coordinator

Position Purpose: The Coordinator, Initial Licensure Field Placements supports learning by working closely with the Director of Field Experiences/Placements and the partnership school districts to secure field experience placements for the School of Education teacher candidates. The Coordinator maintains databases, communicates with school district personnel, works with faculty to secure methods placements, knows how to work with Livetext, has extensive technology experience and expertise in Excel, Databases, the entire Word Suite of applications and tools, has the ability to multi-task, has outstanding attention to detail and can work in a fast-paced environment.

  • Essential Job Functions:

  • Collects and processes all field placement applications using Access database or other database platform.
  • Processes placement requests for practicum/methods and student teaching candidates.
  • Processes placement requests from instructors seeking lab/practicum experiences in local school classrooms.
  • Acts as liaison to districts/schools to follow up and maintain on-going communication regarding placement requests.
  • Notifies methods/student teacher candidates of placement and requirements associated with placement.
  • Maintains Access database or other database platform of all student placements.
  • Creates reports and queries of placement information as requested by other faculty/staff.
  • Collects all cooperating teacher information including W9 honorarium forms to be processed to the Business Office.
  • Collects and manages all student paperwork required for student teaching ie: physical forms, TB, updated FP, etc.
  • Oversees clinical placement secretary functions pertaining to the position: ie: student files, requests made my SOEHP faculty/staff.
  • Acts as a liaison to the Kane County ROE for purposes of teacher candidate placements.
  • Maintains on-going communication with students regarding questions/inquiries .
  • Updates all field experience applications, manuals, notices, Moodle sites, etc.
  • Records and maintains all minutes from meetings related to field experiences ie: supervisor meetings, etc.
  • Gather and enter data and create reports regarding meeting diversity requirements for each teacher candidate.
  • Support and enter school and cooperating teacher information into LiveText Field Experience Module.
  • Support Livetext functions for faculty.
  • Processes and sends requests for honorariums for cooperating teachers.
  • Assists teacher candidates, university supervisors, staff and school districts with information about placements either by mail, phone or in-person.
  • Assists the Director of Field Experiences/Placements.


  • Essential Job Requirements:

    Education:

    • High School Diploma required; College Degree Preferred


    Experience:

    • Technology, Databases, Microsoft Word Suite; Livetext; Business Office or Education Office


    Skills:

    • Strong communication and interpersonal skills
    • Proficient in computer knowledge: Databases, Microsoft Word Suite
    • Strong organizational ability and flexibility to meet ongoing job deadlines
    • Ability to work in a fast-paced office environment
    • Attention to detail


    Physical Requirements:

    • This is a Face-To-Face Position (This is not a Remote position)
    • Be Able to sit for long periods of time
    • Ability to life 10+ pounds
    • Ability to interact on the phone, in-person and/or via the internet or another media technology platform
    • Ability to move about the campus or meeting sites
    • Ability to move chairs from space-to-space
