Job Summary
The Senior Administrative Assistant provides diversified and advanced administrative assistance for a functional unit within the institution. This position serves as a first point of contact and performs a wide range of complex operational duties. The Senior Administrative Assistant acts as a connector for communication with both internal University and external constituents and serves as a liaison between operating units and departments to resolve day-to-day operational challenges.

Responsibilities
  • Perform related duties as assigned to support the mission of the University
  • Assist department managers in procuring goods and services by creating and submitting electronic requisitions in eProcurement
  • Respond to inquiries and concerns from callers and visitors and resolve routine and complex matters
  • Process travel request, registration and logistical arrangements
  • Serve as primary point of contact for department head or supervisor
  • Create correspondence and generate reports
  • Coordinate meetings, and record and distribute meeting reports
  • Maintain appointment schedules and public relations activities
  • Prepare detailed briefing materials and background information for meetings, reports, inquiries, agendas, and presentations
  • Perform Banner duties and responsibilities proficiently
  • Respond to the enrollment increases for SOAR sessions
  • Schedule meetings, training sessions, and other events by using internal systems
  • Assist with correspondence and archiving of files for department searches
  • Assist with reporting faculty's/staff's summer salaries
  • Hire student assistants for department and PI's grants
  • Following all Federal Work Study student policies
  • Approve work time of student's hours
  • Monitor office supplies and publications to ensure an adequate quantity of materials are available
  • Assist in development, evaluation and implementation of office procedures
  • Assist with procurement of items for department
  • Assist with planning and implementation of events
  • Provide information on departmental functions, events, policies, procedures to individuals and groups
  • Maintain detailed record keeping for purchasing activity
  • Monitor/reconcile accounts and process billing; prepare monthly spend reports for department managers and cross check transactions; and assist with budget management

Required Qualifications
Educational Requirements
  • High school diploma or equivalent
  • One or more years of post-secondary education

Required Experience
  • Three or more years of related work experience

Preferred Qualifications
Additional Preferred Qualifications
  • Proficient with Adobe Acrobat, 25Live, Banner, GeorgiaFIRST Financials, Business Objects, OneUSG Connect, and PeopleAdmin

Preferred Experience
  • Administrative support experience in an academic setting

Proposed Salary
$33,300 - $34,500
