Program Liaison / Special Education Intern Program

Overview
Employment Status: Temporary “non-exempt” benefitted position through June 30, 2021 (position may be renewed annually based upon available funding, availability of work and satisfactory job performance.)
Salary: $3,813.26-4,167.00 per month
Work Schedule: 40 hours per week. Generally, Monday through Friday, from 8:00 am to 5:00 pm, with occasional evening and weekend hours.
Deadline: Open until filled, but will review applications by November 6, 2020.
Typical Activities
Under direct supervision of the Faculty Program Coordinator, the Program Liaison will provide administrative support for the Special Education Intern Program.
Duties include:
- Coordinate the admission and advisement process for credential
candidates.
- Work with Program Coordinator to secure intern placements for
credential candidates.
- Process candidate's intern eligibility applications and update
the candidate's file in PeopleSoft.
- Meet with new interns to explain the new student packet, obtain
signatures, and process new intern paperwork.
- Coordinator in assigning student supervisors ensuring
entitlements are being met and updating the PeopleSoft placement
files.
- Provide excellent support to current and prospective students
corresponding via email, phone, and face-to-face meetings to
provide assistance with admissions, enrollment, supervision, and
any other inquiries or concerns.
- Notify current students before census if they are not enrolled
in the proper courses every quarter/semester.
- Assist the Faculty Program Coordinators in assigning student
supervisors ensuring entitlements are being met and updating the
PeopleSoft placement files.
- Communicate with students through emails, phone calls, and
face-to-face meetings to provide assistance with admission,
enrollment, and supervision questions.
- Assist with students and supervisor orientation activities for
credential programs.
- Run reports and record supervision observations and evaluations
and send weekly updates to the coordinator
- Use excel to export support data from SMS to ensure that each
student and supervisor has documented sufficient time for each
quarter
- Collect intern 8% salary deduction forms from districts and
ensure they are properly completed. Reconcile payments monthly
using excel spreadsheets and DataWarehouse reports. Process and
overpayments for reimbursement or initiate invoicing for
outstanding balances at the end of each quarter.
- Process invoices and maintain an accurate up to date
budget
- Process requisitions and purchase orders
- Use Concur for travel requests and expenses for program
coordinators and supervisors
- Verify program coordinator and supervisor overload timesheets
are accurate and gather the required signatures for UEC
payroll.
- Arrange payments for guest speakers
- Intern Regional Directors Budget, travel, etc.
- Processes PTR's for new hires and new fiscal year.
- Maintain accurate record-keeping and financial information
data. Summarize data related to administrative reports and other
activities.
Minimum Qualifications
Education and Experience:
- Applicant must have at least a high school diploma and a minimum of five years of experience in an office/administrative environment.
- Must be able to process general office clerical work, along with editing and computer skills including Microsoft office suite (such as Microsoft Word, Excel, and Outlook) and be able to quickly and accurately learn other electronic databases and programs, including PeopleSoft.
- Applicants must have strong organizational, interpersonal, oral, and written communication skills.
- Applicants must possess thorough knowledge of office methods, and be able to handle confidential and sensitive information/situations, and think creatively to resolve issues.
- Applicants must be able to work with diverse populations and with a team of support staff and faculty and provide excellent customer service to students, faculty, staff, and external project team members.
- Applicants must have the ability to function with minimum supervision for routine tasks, be able to follow directions, take initiative, be flexible, prioritize multiple projects and make decisions with minimal direction, and be accountable for work performed.
- Preferred qualifications include a bachelor's degree, experience working with budgets, experience working with databases, and experience in a college or university office setting.
