Job Description Summary:
Supports both the Physician Assistant Program and the Department of Kinesiology. Provides support to department chairs, faculty, students, and others associated with the department to ensure efficient, effective operation of the offices and the programs. Manages program contracts, clinical site agreements and budget and duties as assigned. Completes all administrative duties in a confidential, timely with a high level of quality. Serves as a primary point of contact for students during the academic year and visitors to the program.

Specific Duties:
Provides Support for the Department Chairs
  • Schedules meetings between outside parties
  • Prepares and conducts correspondence in professional, timely manner
  • Assists with project coordination
  • Organizes and schedules meetings and appointments
  • Liaison to outside parties as assigned
  • Reconciles monthly expense reports/credit card statements in an accurate and timely manner for the program director to sign off on
  • Receives, codes and processes invoices
  • Keeps a detailed running spreadsheet expense report
  • Provides an updated monthly budget report to the department chairs in an accurate and timely manner
  • Books travel arrangements
  • Processes check requests, travel reimbursements, and purchase orders
  • Maintains accreditation portal as directed
  • Updates website and populates program website with required information
  • Runs Board Certification registrations dates and exam reports
  • Assists with catalogue updates
  • Assists with the processing of paperwork for student certification and employment requests
  • Assists with the planning and preparation for events (e.g. white coat and awards ceremonies, open house, graduation, advisory board meetings)
    Provides Support for the Departments
  • Assists faculty as needed and requested
  • Supervises work-study students and submits their time cards to payroll
  • Maintains calendars, email and websites
  • Coordinates and records meetings as requested
  • Maintains office budget, codes all invoices for accounts payable purposes and ensures office invoices are paid in a timely manner
  • Handles coordination of office events and assists Program Directors, Medical Directors and program faculty with scheduling of events; including, but not limited to, ordering food, reserving rooms, and contacting participants
  • Liaison with other departments to complete various tasks and resolve matters related to finance, students, event planning and marketing
  • Serves as a focal point for the collection, assimilation and dissemination of materials
  • Answers and directs phone calls
  • Maintains contact lists
  • Assists with mailings and distributes mail
  • Orders office supplies, maintains adequate stock of supplies, assesses office supply needs of the program and faculty
  • Maintains student and program files and records
  • Maintains upkeep of office equipment
  • Assists with backup of data and information as needed
  • Supports faculty (e.g. filing, proctoring exams, making copies, faxing, printing, scanning, mailings, scheduling of meetings, computer issues, new faculty onboarding)
  • Participates in discussions and actions related to program compliance with accreditation standards
  • Populates courses and students into banner and the learning management system
    Provides Support for the Students
  • Communicates with students as needed/requested (e.g.. registration, graduation, required documentation)
  • Schedules meetings between students and faculty and administrators (e.g. advising, student concerns)
  • Assists students with registration, registers students during the clinical year
  • Promulgates required information to students, including program and university deadlines and notices
  • Assists students as needed and requested by the department chairs
  • Oversees the department social media (e.g. updates with events and pictures, authors control)
  • Assists with the Graduate Admissions Process
  • Assists with recruiting events and activities as requested
  • Manages prospective student inquiries
  • Communicates with potential and newly accepted students as requested
  • Assists with the graduate admissions process and interview days
  • Collects and consolidates applicant information
  • Performs data-entry of student records
  • Verifies student files are complete before students enter their respective program
  • Maintains lists and schedules as directed
  • Compiles admission data
  • Welcomes visitors and offers general support
  • Serves as primary point of contact for students


Minimum Qualifications:
  • Associate Degree (Bachelor preferred), in a field related to administrative or academic administration, but will consider documented experiential qualifications with ability to perform or master the described duties and responsibilities
  • Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Access, Publisher) required
  • Working knowledge of mail merges required
  • Ability to type at least 45 wpm is required
  • Strong organizational and planning skills are required
  • Excellent verbal and written communication skills are required
  • Ability to maintain confidentiality required
  • Other required attributes: time management, ability to prioritize, ability to multitask, detail-oriented


Preferred Qualifications:
  • At least two years of experience in a similar role preferred
  • Budget, accounts receivable, and accounts payable experience preferred
  • Experience with internet explorer, Mozilla Firefox, Chrome, Vivaldi, Opera, Safari, Maxthon, G-mail, Microsoft Edge, Windows 10, Adobe Acrobat Reader, Word Press, Office 365, and Outlook, preferred
  • Working knowledge of Banner preferred
  • Working knowledge of Kronos preferred
  • Working knowledge of Word Press preferred
