The Academic Operations Coordinator plays a critical role as the primary liaison with departments across campus and Syracuse University Human Resources for contracts and payroll processing for part-time and adjunct faculty assigned to University College courses, as well as for Syracuse University Winterlude, Maymester and Summer Sessions.

Qualifications

Bachelors degree. Minimum of 3 years of experience in higher education, preferably in an academic affairs unit.

Job Specific Qualifications

Expert knowledge of PeopleSoft applications, specifically HRSA payroll system.
Exceptional organizational skills and accuracy.
Refined attention to detail, independent thinking and ability to work collaboratively in a dynamic team environment.
Demonstrated ability to multi-task, operate independently, take initiative without direction, and prioritize time and resources to meet project deadlines.
Expert knowledge of University procedures, protocols and organizational structures.

Responsibilities

Serve as central administrative support for Academic Affairs Office.
Serve as liaison between instructional staff/faculty and Academic Affairs to initiate and guide instructional staff/faculty through processes such as onboarding and the evaluation portfolio.
Maintain and coordinate instructional staff/faculty communication and community such as the Blackboard organization and quarterly meetings.
Attend BPS instructional staff/faculty meetings and curriculum committee meetings; function as recorder and communications manager.
Orchestrate multiple activities to accomplish goals, keep accurate and current records in a logical organized manner that is accessible to others.
Share responsibilities as Academic Affairs budget manager, responsible for monthly reconciliations, processing IDs, requisitions, invoices, purchase orders, and journal entries.
Train, manage and direct temporary staff (1-2 individuals) including planning work, accurately determining the length and difficulty of tasks, and setting clear, realistic, and time bound objectives.
Project management of specific events, primary resource for iModules use, and communications coordinator.

Manage payroll processing for course and programs; gather instructor assignments and pay information; Manage processing with Human Resources for generating appointment letters, input salaries on system, interface with academic departments to reconcile instructional compensation; Troubleshoot and resolve issue with processing pay requests.

Build, update and continually improve enrollment reports and reporting procedures; Report planning and distribution, to include historical analysis of past courses.

Provide course management and assistance to include class set up and room assignments as requested.
