Seeking a candidate with a bachelor’s degree in accounting, business administration, or the equivalent. One to three years of relevant experience in accounting and budget management. Experience in grants management and not-for-profit accounting in an educational and/or research setting is preferred. Successful candidate will provide grant administration, financial management, and financial analysis and projections for several complex operating and project budgets (pre- and post-award) including multiple funding sources, multi-site research projects, and program projects. Applies a robust understanding of the principles and practices of financial and grants management in the accomplishment of financial and administrative activities.

 

Position Purpose

 

his position is responsible for the daily administrative operations of defined research areas including grant and contract proposal preparation, management of financial transactions, preparation of regular reporting on status of funding and approval of research expenditures. This person collaborates with supervisor, Office of Sponsored Projects, and Principal Investigators to ensure compliance and proper implementation of policies and procedures. The position also provides support to the Cancer Center Director of Finance in the development and administration of operating budgets and provides information to ensure funding levels necessary to sustain Cancer Center activities.

 

Key Accountabilities

 

Financial Planning and Budget Administration (70%)

  • Analyzes the financial impact of ongoing and planned operating and research activities, available funding, and anticipated fluctuations in funding. Reports gaps in funding to supervisor and/or Director or Finance.
  • Manages assigned grant and operating accounts for department
  • Prepares and administers budgets for grant (pre-award and post-award) and operating budgets.
  • Prepares periodic projections to be presented to each Faculty member to interpret the impact their financial status has on their research. Defines costs and income, and expends revenues on per capita and other accounts and, in collaboration with Office of Sponsored Activities (OSP), monitors expenses for allowability.
  • Collaborates with OSP, Geisel School of Medicine (GSM) Fiscal Officer, and GSM Chief Operations Officer to ensure compliance with College, Medical School and granting agency fiscal policies and advises department faculty with respect to those policies.
  • In collaboration with Cancer Center Director of Finance, and other Research Administrators, formulates departmental fiscal policies and procedures.
  • Prepares specialized fiscal reports, such as the year-end reports of core grant accounts for the NCCC Director, NCCC Associate Director for Administration and Scientific Affairs, or NCCC Director of Finance.
  • Maintains confidential personnel and fiscal records keeping the information contained current.
  • Assists Administrative Manager with posting positions to the internal hiring management system by confirming budget information and funding for salary. Informing supervisor and/or Director of Finance if there are identified funding issues prior to recruitment.
  • Prepares payroll authorizations and monitors salary allocations throughout the year. Works with PIs to regularly monitor allocations, make changes as appropriate.
  • Interacts with Clinic and Hospital staff to process billings to hard money accounts where funding has been established for cancer related projects by either special or donated funds. Initiates and implements special agreements between Trustees of Dartmouth College and Clinic/Hospital to reimburse clinician/nurses, etc. for effort on hard money accounts.

 

Support Functions (10%)

  • Establishes deadlines, determines priorities, and coordinates and adjusts workload.
  • Anticipates and recognizes problems and/or issues and brings them to the attention of the supervisor, Director of Finance, and/or Office of Sponsored Projects.
  • Screen visitors and callers and decides appropriate action based on priorities, commitments, and interests of the faculty and staff.
  • Participates in routine research administration meetings, seminars, and programs to stay abreast of best practice and guiding regulations.

 

Accounting (20%)

  • Reconciles expenses and revenues for assigned accounts, identifying, researching, and correcting errors on a timely basis.
  • Oversees the preparation and processing of payables, deposits, journal transfers, etc. Authorizes expenses within areas of responsibility.
  • Approves p-card charges for assigned accounts.
  • Assists with purchasing as needed.

Required Qualifications

 

  • Minimum of 1-2 years relevant experience in accounting, grant administration, or budget management.
  • Bachelor’s degree with a major in accounting, business administration, or the equivalent
  • Knowledge of fiscal policies and processes.
  • Comprehensive knowledge of accounting and grant administration.
  • Ability to maintain confidentiality and security of sensitive information.
  • Strong organizational and time management skills.
  • Excellent oral communication and interpersonal skills.
  • Ability to accommodate multiple faculty members and their varying needs.

Preferred Qualifications

  • Three years of relevant experience in accounting, grants administration, or budget management.
  • Experience in not-for-profit accounting and grants management in an educational and/or research setting preferred.
