Position Summary:

The Administrative Assistant provides administrative support to the Office of the Provost. The individual in this position will handle all centrally managed professorships and associated financial matters, and also provide administrative support to the Vice Provost for Faculty and Staff Affairs (VPFSA). The individual in this position must be comfortable juggling multiple tasks and share a commitment to create a diverse, inclusive and excellent learning and work environment for all students, faculty, staff, alumni and partners at the university. This position will start as a 60%-time appointment but may be adjusted in the future depending on workload and by mutual agreement.

This position reports to the Vice Provost for Faculty and Staff Affairs.

Degree and Area of Specialization:

Associate's degree preferred; Bachelor's degree strongly preferred.

Minimum Years and Type of Relevant Work Experience:

- Management of financial records and experience using related accounting tools in a higher education setting required.
- Experience using the UWFAA advancement and accounting tools highly desired.
- Experience handling professorships and other honorary recognition for faculty and staff highly desired.
- Experience using Microsoft 365 (including Word, Excel and PowerPoint), and MS Teams to schedule meetings of two or more people required.
- Scheduling meetings of multiple individuals using Webex and Zoom preferred.
- Experience booking travel a plus.
- Familiarity with shared electronic filing system a plus.
- Familiarity with UW-Madison or similar campus administrative structure a plus, including providing assistance to participants to complete TER's.
- Experience working as a member of a team engaged in cross-campus collaborative work highly desired.



Work Schedule:

Part-time, 50-75% time (20-30 hours per week).
