Position Development Finance Officer/Foundation Full Time/Part Time Full Time Job Type Regular Position Summary

The incumbent in this position is responsible for all finance related work in the office including cash management, data entry, check processing, journal entries, fund balancing, budget entry and year‐end closing
activities. The position reports to the Director of Advancement. This position is covered under a collective bargaining unit; upon successful completion of probationary status, the terms and conditions of the CBA will apply.

Duties and Responsibilities

Manage all cash transactions;
Responsible for determining available funds from Scholarship/misc award distribution;
Prepare annual Foundation financial statements;
Work closely with auditors in preparation of IRS form 990;
Monitor funds and issue checks for all university clubs and organizations including individual athletic
department sports and Ilfeld Auditorium funds;
Monitor and reconcile university employee payroll deduction activity from fund‐raising campaigns;
Generate thank‐you letters & receipts for all transactions;
Code and record all transactions in Banner and balance to the general ledger;
Monitor and audit all financial transactions for policy compliance;
Monitor and maintain all investment accounts;
Monitor and initiate electronic cash transfer of funds from various bank accounts as necessary;
Develop and produce monthly, quarterly and annual financial reports;
Maintain the unitization schedule of the foundation’s investment funds and process all necessary journal vouchers to record monthly investment activity to the general ledger;
Prepare, process, post and distribute accounts payable checks;
Prepare all payment vouchers;
Gather all necessary signatures/approvals on various paperwork;
Process all cancelled or voided checks;
Maintain daily, monthly, quarterly and fiscal year reports;
Reconcile all funds to the general ledger;
Reconcile all bank statements to the general ledger on a monthly basis;
Run control and balance sheet reports on a regular basis;
Prepare and post all necessary journal vouchers to the system to include journal vouchers to post budgets in Banner;
Provide financial reports to clubs, departments, donors and the foundation board;
Maintain all fund, organization, program and account number designations and campaigns;
Prepare yearly financial audit;
Develop and produce financial reports, statements, and audit data pertaining to the accounting operations;
Provide auditors with all necessary documents and/or reports and information throughout audit;
Prepare and post all year‐end transactions;
Develop the necessary office forms, policies and procedures pertaining to finance;
Responsible for financial coding, operation and input to the development office accounting system;
Balance all funds and run yearly and monthly opening and closing processes;
Set up and implement all fiscal year closing parameters;
Prepare all necessary reports for budget development and approval for Director of Advancement, Vice President Student and Donor Engagement, and Board;
Advise the Director of Advancement on budget development;
Assist with all fundraising activities and provide support to the Alumni Office;
Assist with recording, implementation and planning for all fundraising solicitation activities of the
development office;
Generate lists, reports and/or mailing labels according to the specific criteria needed for fundraising solicitation and various mailings throughout the year;
Learn use of Raiser’s Edge database and develop ability to record and extract data from Raiser’s Edge;
Perform other duties as assigned;
Maintain regular attendance.

Minimum Job Requirements

Education: Bachelor’s Degree in Business or a related field with successful completion of at least fifteen (15) hours of
university level accounting. Three (3) of the fifteen (15) hours must include Intermediate Accounting.

Experience: Experience may substitute for Education on a year to year basis.

Additional education beyond a Bachelor’s Degree may substitute for experience on a year to year basis.

Preferred Qualifications

Experience in a Non-profit organization

Special Conditions for Eligibility Knowledge, Skills, and Abilities

Knowledge of federal and state financial regulations and university financial policies and procedures;
Knowledge of modern accounting applications;
Knowledge in working with Ellucian Banner and/or Raiser’s Edge;
Knowledge of Microsoft Office applications, including Excel, Word, Access and Outlook;
Knowledge of generally accepted accounting principles and governmental accounting standards;
Ability to communicate effectively, both orally and in writing;
Ability to research and analyze data and prepare financial reports;
Ability to analyze budgetary expenditures for compliance with funding agencies; budgets, policies, and
procedures;
Ability to maintain confidentiality;
Ability to provide exemplary service to customers, in and outside the University;
Skill in utilizing ten‐key by touch in an accurate, fast manner.
