Job Summary
Student Support Services. Under the supervision of the TRIO Director, the Administrative Assistant provides support to ensure efficient operation of the department. This position supports staff through tasks related to organization and communication. This position has been identified by Federal Law (Jeanne Clery Act) as a Campus Security Authority (CSA), with significant student and campus responsibilities. CSA 's are obligated to report crimes reported to them which occurred on campus, in public areas bordering campus and in certain non-campus buildings owned or controlled (leased) by the University.

Responsibilities
  • Perform related duties as assigned to support the mission of the University
  • Creates and maintains files for all TRIO program participants
  • Manages front office phone reception, directing calls and taking messages as appropriate
  • Hires, trains, supervises and schedules student workers
  • Manages departmental email, responding to all questions and requests, and direct to appropriate contacts when necessary
  • Provides substantial assistance and support to the TRIO Director in marketing and communication outreach efforts, including maintaining an online presence through website and social media outlets
  • Communicates information (minutes from staff meetings, workshops and/or trainings) clearly to staff, faculty, and/or public
  • Generates and distributes TRIO monthly calendar of events to TRIO participants
  • Maintains office supply inventory and coordinates supply ordering, department facility requests, AV support, and conference/workshop room scheduling
  • Schedule and coordinate appointments, meetings, and events for all TRIO staff
  • File, archive and maintain a system of all TRIO documents, receipts, invoices, expense reports, travel request, budget amendments, purchase orders and check requests
  • Supports the TRIO Director and staff in creation of travel and expense reports
  • Performs related duties as assigned to support the mission of TRIO SSS
  • Coordinates, collects and inputs data as it relates to the preparation of the Annual Performance Report (APR) and program evaluation
  • Assists the TRIO Director in carrying out programs, workshops and projects initiatives and coordinates evaluation of those initiatives

  • Possesses a high-level understanding of the overall organizational budget for TRIO Student Support Services and coordinates with Business and Finance to ensure all policies and procedures are adhered to
  • Provides assistance and serves as a resource for TRIO participants as directed
  • Serves as the first point of contact to departments, constituents, and partners; manages and relays incoming questions, requests, and needs and sees them through to conclusion
  • Serves as a liaison between TRIO SSS and other departments/units across campuses and external contacts

Required Qualifications
Educational Requirements
  • High school diploma or equivalent

Required Experience
  • Three or more years of related work experience

Preferred Qualifications
Preferred Experience
  • One-year work experience in higher education
  • Prior experience with TRIO programs
  • Three years of experience demonstrating administrative and analytic support
  • Experience with Blumen Software, Banner, DegreeWorks and other university student information systems.

Proposed Salary
$30,900 - $32,770
