Transition Programs is an organizational unit within the Division of Student Affairs. The Office of Transition Programs provides a comprehensive array of programs designed to meet the unique needs of undergraduate students and guests from orientation through graduation. Programs generate an intentional connection for the students through engaging interactions with other students, faculty and staff. Some of the programs supported by the Office of Transition Programs are:

Brief Summary of Work for this Position

The Administrative Specialist will oversee a range of administrative responsibilities for the Office of Transition Programs. This position requires in-depth knowledge of the university’s organization structure, programs, and services in order to provide high-quality customer service to students, families, faculty, and staff. The Administrative Specialist will assist with the preparation and implementation of all departmental programs and events. This position will manage a reservation software system that interacts with multiple software systems such as Banner, AdmissionPros, TouchNet, and SQL Server Reporting Services. This position will research, collect, analyze and reconcile data. The Administrative Specialist will design physical and electronic publications such as confirmation packets, websites, mobile apps, social media posts, posters, and event signage.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Preferred education, professional skills and experience

-Bachelor’s degree in business administration; or an equivalent combination of training and experience
-Must have strong attention to detail is critical
-Ability to interact with the public with a patient and positive attitude
-Must have excellent listening skills and the ability to act as an information/referral source
-Excellent written and verbal communication skills
-Ability to independently plan and determine the best procedures for completing a task without supervision
-Ability to work effectively and efficiently despite numerous interruptions
-Ability to learn and adapt quickly to new policies and procedures
-Working knowledge of computers and software programs such as Microsoft Word, Outlook, Excel, SharePoint and Banner and an ability to learn new software programs
-Banner experience or a similar program is desired
-Experience managing and updating websites and/or mobile apps
-Experience managing event reservation software or electronic databases
-Experience working in a university setting
-Thorough knowledge of procedures and policies of the office and the university are critical in performing the job functions
-Proven ability to manage (multi-task) and excel in a high energy fast-paced environment
-Must be able to independently plan and determine best procedures for completing a task without supervision
-Ability to work effectively despite numerous interruptions
-Ability to learn and adapt quickly to new policies and procedures
-Must have good listening skills and the ability to act as an information/referral source
