At the main campus in Philadelphia, Pennsylvania (PCOM), the branch campus in Suwanee, Georgia (PCOM Georgia), and our newest location in Moultrie, Georgia (PCOM South Georgia), PCOM students learn to approach problem solving in a more professional, more team-oriented manner, which prepares them to work successfully in integrated healthcare settings with other health professionals.

Position Description

Supports the Office of Admissions, a fast­ paced, detail-oriented, and goal-driven work environment, by playing an integral role in the administrative and operational needs of the office.

This position can based at PCOM (Philadelphia, Pennsylvania) or PCOM Georgia (Suwanee, Georgia).

Essential Duties and Responsibilities

Duties and responsibilities include (but are not limited to) the following:

  • Assist the director of admissions on the Philadelphia campus with the facilitation of the Faculty Committees on Admissions and DO Admissions process, which includes:
    • Coordinating the DO Philadelphia interview schedule (in conjunction with recruitment staff), which includes but is not limited to scheduling candidates, interviewers, and meal hosts, sending reminders, and ordering catering for on campus events.
    • Assisting with interview greeter duties for the DO program and graduate programs as needed.
    • Processing interviewer and reviewer forms and data, post-interview.
    • Taking meeting minutes and communicating with committee members regarding meeting schedules and attendance.
    • Decision letter production and processing for the DO program. Assist with decision letters for other programs as needed.
    • Process confirmations for enrolling students and track receipt of enrollment materials.
  • Assists the admissions manager and operations team with the following technical tasks as needed:
    • Preparation of statistical data related to inquiries and applications for all programs.
    • Testing related to new software implementations and software upgrades.
    • Data quality assurance and file audits.
    • Assist with preparing uploads of applicant data from Centralized Application Services to Banner.
    • Engage with admissions software programs as a super user, including but not limited to Perceptive Content, Docusign, and a new CRM (to be determined).
    • Training new employees on processing tasks and monitoring skills progress.
  • Additional admissions processing related tasks include:
    • Responding to routine telephone and email inquiries from prospective applicants.
    • Processing application materials (recommendation letters, test scores, transcripts, etc.) received from external sources for all degree programs throughout the entire application cycle.
    • Participating in virtual and on campus recruitment activities (i.e. open houses) and conversion events (i.e. DO welcome brunch, second look events, etc.), and pathway programs as needed, which may include evenings and weekends.
    • Light local recruitment travel as needed.
    • Providing back up for all levels of processing for all programs.
    • Maintaining confidential information.
  • Other duties as assigned by the chief admissions officer and director of admissions.

Position Requirements
*Applicants must be authorized to work in the U.S. and pass a criminal background check. Education
  • Bachelor’s degree required.
  • Minimum of one (1) year progressive experience in admissions or higher education setting.
  • Proficient in Microsoft Word, working knowledge of Excel and Access. Working knowledge of Banner, Perceptive Content, Docusign, and CRM software a plus.
Certifications, Licenses, Registrations
  • Valid active driver’s license and auto insurance required.
Physical Demands
  • Primarily sedentary work. Occasionally may lift supplies up to 10 pounds.
