We are seeking an Enrollment Operations Assistant I to work out of our headquarters in Santa Barbara on a full-time 37.5-hour per week basis. Due to COVID-19, employment will be working from home until we can safely open our Santa Barbara office.

 

Summary

The Enrollment Operations Assistant acts as the primary point of contact for students regarding the processing of admission application and enrollment documents. The assistant is responsible for accurate and timely data entry of application and enrollment materials within the university’s software solutions, including EnrollmentRx/Salesforce and Ellucian Colleague.  Additionally, the assistant reviews transcripts, supports the application review process, and helps incoming students complete enrollment and make initial payments.  The assistant answers questions regarding university policies and procedures related to admissions, financial aid, and enrollment, and coordinates with other student services areas in a high volume and challenging, fast-paced environment.

 

The position requires strong data entry skills across multiple databases, exceptional attention to detail, ability to consistently follow procedures, and the ability to communicate clearly via phone and email to provide effective customer service.  The ability to multi-task and prioritize work based on stated deadlines is also necessary.

 

QUALIFICATIONS

Applicants should have a bachelor’s degree or equivalent combination of education and experience with supporting CRM technology for marketing and sales; preferably in high education. A minimum of two years of experience in a front-line customer-relations and/or sales position, including office experience with data entry and high volumes of telephone and email communications.   

 

Preference will be given to applicants with Ellucian Colleague or Salesforce experience in a higher education setting, particularly with Enrollment Rx or TargetX, supporting marketing, recruitment, and/or student service. 

 

The ideal candidate will possess a professional, collaborative, and upbeat approach to their work. Exceptional communication and interpersonal skills, as well as the ability to manage multiple projects, prioritize, and work under tight deadlines are all essential to success in the role. This position will require a high attention to detail and to ensuring the security and integrity of sensitive data. Applicants should have proficiency with Microsoft Office Suite (Outlook, Word, Excel) and database applications.
