Job Summary

The Graduate Program Manager works with the Director of Community and Professional Development to coordinate and communicate graduate student opportunities for writing and professional development programming offered by the Graduate School. This position coordinates events and offerings such as the 3-Minute Thesis (3MT) competition, the Graduate Peer Mentoring program, invited speakers, and other professional development offerings. The Graduate Program Manager also works closely with the Writing Center, Career Services, Counseling & Psychiatric Services (CAPS), and other campus community members in support of graduate student success.

What Your Key Responsibilities Will Be

Program Management
  • Work with the Director of Communications to promote and advertise offerings through CU Boulder Today (CUBT), Graduate School (GS) website, social media, flyers, etc.
  • Disseminate information regarding the Graduate School's various programs, presentations, and orientations in conjunction with the Director of Graduate Community and Professional Development.
  • Represent the GS at events such as tabling, attendance at workshops, or other related events.
  • Logistics for all writing support events and seminars conducted in person and remotely, including securing venue or organizing video conferencing; catering; etcetera.
  • Answer the Graduate Professional Development emails.
  • Assist the Director of Graduate Community and Professional Development and senior Graduate School staff with administrative tasks as assigned.
  • Manage the following tasks related to the 3-Minute Thesis competition:
    • Coordinate 3MT preparation workshops.
    • Correspond with all participants regarding questions, logistics, RSVPs, etc.
    • Work with other GS staff to arrange judges for each round of the competition.
    • Correspond with and educate judges regarding 3MT rules and criteria.
    • Manage practice sessions, preliminary judging days.
    • Lead final round event logistics.
    • Partner with the Assessment Coordinator to survey participants.
    • Facilitate communication of feedback to participants.
    • Communicate preliminary results to participants.
    • Manage scheduling and logistics for all 3MT workshops, preliminary judging, and finals.
  • Manage the following tasks related to the Graduate Peer Mentoring program:
    • Coordinate with GS staff to prepare and advertise applications for the program.
    • Work with GS staff and others to match mentors with mentees.
    • Correspond with all participants to introduced mentors and mentees.
    • Correspond with all mentors regarding guides and campus cash cards.
    • Arranging logistics for program kick-off event (which could be securing physical space and catering, or electronic means if/when necessary).
    • Work with GS staff to check-in mentors for kick-off.
    • Work with the Assessment Coordinator to survey participants.
    • Correspond to participants regarding questions, and re-matching as needed.
    • Organize events across the academic year.
    • Work with GS staff to send an end-of-year survey.
  • Manage the following tasks related to invited speakers:
    • Contact and correspond with potential invited speakers to arrange all logistics for invited speaker visits, including financial arrangements in consultation with GS financial staff.
    • Manage all room and catering arrangements.
    • Coordinate advertising of the event.
    • Manage the day of event(s) operations with assistance from GS staff.
    • Work with the Assessment Coordinator to evaluate the event.
    • Manage the following tasks related to Professional Development Digital Badges:
    • Coordinate with the Office of Postdoctoral Affairs (OPA) and Career Services to resolve offerings that will count toward certifications in a given semester.
    • Advertise offerings with the Director of Communications.
    • Attend OPA workshops to take attendance and maintain a spreadsheet of all attendees across the academic year.

Campus Community
  • Collaborate with the Writing Center, Career Services, CAPS on a regular meeting basis.
  • Develop and maintain resources on the GS website.
  • Manage the following tasks related to the Grad Area Liaisons:
    • Handle advertising for, selection, and setup of 6 area Graduate Liaisons in August of each year.
    • Coordinate with Career Services to meet with the liaisons and determine how to facilitate their professional development needs.
    • Work with GS staff to facilitate liaisons communication with their cohort.
    • Connect liaisons with appropriate resources – assessment, etc. – to help them achieve their professional development goals.


What We Can Offer

The salary range is $48,000-$60,000 annually.

What We Require
  • Bachelor’s degree from an accredited institution.
  • Experience planning and/or coordinating events.


What You Will Need

  • Proficiency in Microsoft Suite including familiarity with Excel.
  • Demonstrated ability to work with students from diverse cultural, linguistic, and economic backgrounds.
  • Attention to detail, verbal and written communication, interpersonal skills, and a high degree of professionalism.
  • Independent judgment, strong organization, and communication skills, and a superior customer service focus.
  • Ability to work with minimal supervision and also as part of a team.
  • Highly organized, able to run multiple projects at once and make program decisions.
