Assistant Director of Orientation and Student Onboarding - Enrollment Management



The Admissions and Recruitment unit within the Division of Enrollment Management at West Virginia University is seeking applications for an Assistant Director. This position will be responsible for supervising the Program Coordinator of New Student Orientation and providing direct oversight of WVU’s Orientation programming. This highly visible, professional position interacts regularly with senior administration, faculty, professional staff, and prospective students and their families. The Assistant Director is part of the Enrollment team that strives to meet student needs, provide excellent customer service, and achieve enrollment goals.

In order to be successful in this position, the ideal candidate will:

  • Manage the full life cycle of New Student Orientation (NSO): Plan, develop, lead and evaluate new student orientation programs. Manage all aspects of the orientation program to meet project deadlines and quality measures including but not limited to securing facilities, engaging all campus partner, speakers, food arrangements, transportation, management of a database, and overseeing registration.
  • Provide daily operational leadership of NSO, including trouble shooting problems, communicating to constituents, coordinating services to parents and students, ensuring completion of all logistical needs, and maintaining quality control across all facets of NSO day-to-day operations.
  • Lead yearly effort to continuously improve the orientation experience. Manage the administration of the NSO survey to parents and students. Complete thorough assessment of findings from the survey and developing vision for changes in the program.
  • Provide supervision and professional development for Program Coordinator of New Student Orientation.
  • Articulate vision for NSO to senior administration and University community.
  • Lead all aspects of communicating NSO to campus community and the public. Working with University Relations, develop, design, and produce letters, emails and publications for New Student Orientation.
  • Manage New Student Orientation websites and coordinate updates/changes as needed.
  • Lead any Recruitment and Processing staff representatives who have responsibilities at NSO on the planning, execution and evaluation of NSO.
  • Develop and administer the orientation budget, including budget forecasting, cash operations, planning, and monitoring of revenue and expenditures.
  • Serve as the liaison for NSO with University Relations to plan and execute the NSO program to ensure the ideal user experience.
  • Update content on the NSO website and other platforms, while also evaluating new mediums.
  • Participate in the development and monitoring of a recruitment plan to insure effective recruitment events and NSO.
  • Lead the New Student Orientation Advisory Board through the yearly planning process.
  • Serve as spokesperson for NSO with students, parents, alumni, high school personnel, and community groups.
  • Oversee transfer student onboarding program and works in conjunction with the Office of Global Affairs on international student onboarding.
  • In cooperation with the Event Management Team assist with the logistical planning and coordination of all enrollment events. This includes oversight of high ability events, open house events, and in-market events as needed.
  • Assist with event communication planning and audience segmentation to ensure events are non-duplicative and fulfill recruitment and enrollment needs.
  • Continually assess event strategy to ensure that that recruitment events meet recruitment goals.
  • Act as a designee to recruitment staff when Director is not available.
  • Ensure office coverage for daily visitors, manage staff coverage for events and other out of office recruitment events, ensure staff professional development opportunities, and demonstrate leadership for the office.
  • Establish and maintain effective working relationships internally with other departments, divisions, colleges and schools to maximize cooperation and collaboration for all aspects of NSO, recruitment events, and enrollment.
  • Conduct research on specific topics and provide reports and recommendations to the Enrollment leadership team.
  • Serve on various University committees and meetings involved in the planning and evaluation of new student visitation and orientation programs and enrollment management issues. Maintain active membership in professional organizations and represents WVU at various functions.
  • Assist with recruitment and processing work that is typically assigned to Admissions Counselors throughout the year, including visitor center presentations, meetings and outreach with students and parents, application review, etc.


Qualifications :

  • Bachelor's degree required. Master's degree preferred.
  • A minimum of four (4) years of experience in higher education administration, enrollment management, orientation, or event planning.
  • A minimum of one (1) year of supervisory experience.
  • Excellent oral and written communication skills, including public speaking experience.
  • Demonstrated interpersonal skills and commitment to working with students and staff from diverse backgrounds.
  • Demonstrated experience in program planning from start to finish.
  • Demonstrated ability to develop, implement, and evaluate special events and programs.
  • Demonstrated experience in managing, supervising, and motivating a diverse staff.
  • Demonstrated administrative and budgetary management skills.
  • Demonstrated ability in developing publications.
  • Demonstrated ability to operate a personal computer and experience with a computerized student information system.
  • Demonstrated commitment to and a record of excellence in customer service.
  • Demonstrated analytical and problem-solving skills necessary to resolve complex situations.
  • Demonstrated ability to coordinate a wide variety of tasks and projects taking place simultaneously and prioritize work
  • functions.
