Position Summary:
The ASCEND Project Coordinator will assist the Project Director and Steering Committee in managing the logistics of the NSF-funded ASCEND project, including:
1) Organizing regional meetings and project-related travel;
2) Preparing, distributing, and posting project communications including the ASCEND email, learning management system, website, and electronic library;
3) Liaising with the Education Development Center (our research partner and project evaluator); and
4) Supporting fiscal and grants management.
The position can be largely remote, though some travel is required. Hours can be flexible and vary week to week.

Job Duties:

Program Support (50%):
  • Schedule and attend weekly ASCEND Leadership Team meetings and other project-related meetings and prepare meeting minutes
  • Review ASCEND email daily and communicate with Steering Committee
  • Maintain the ASCEND website, learning management system (Canvas), google suite, and electronic library
  • Email event announcements, meeting summaries, and reminders
  • Provide support for the writing of required NSF reports
  • Arrange travel, lodging and reimbursements for ASCEND program personnel
  • Collect and organize policies from participating universities


Organizing ASCEND Regional Meetings (25%)
  • Determine availability dates of key participants
  • Arrange for meeting space, catering, travel, and lodging
  • Arrange reimbursements for participants and honoraria for guest speakers
  • Make parking pass arrangements as appropriate
  • Prepare regional program materials for distribution, and/or creating and distributing electronic versions
  • Collect, collate and submit event evaluation forms to Education Development Center (EDC)


Fiscal and Grants Management (25%)
  • Track project spending and communicate details with program staff;
  • Collaborate with WU's Office of Grants and Strategic Initiatives (OGSI) and Accounting Department to open, close, and maintain all ASCEND budgets;
    • Assist staff with purchasing, reimbursements, and payroll matters
    • Act as liaison between ASCEND staff and central services units, such as Payroll and Purchasing
    • Maintain spreadsheets that track budgets and forecast budget projections
    • Assist with processing contracts and other documents (such as event and hotel contracts for annual meetings)
  • Complete other fiscal duties as assigned.

Desired Qualifications
  • Bachelor's degree
  • 2+ years professional work experience in a higher education environment.
  • Experience working with university faculty.
  • Experience managing budgets.
  • Experience working with grant funds.
  • 2+ years of experience with program coordination in higher education.
  • Excellent problem-solving skills.
  • Mentoring or mentoring program development in a higher education environment.
  • Experience with federal grant-related policies and procedures.
  • Demonstrated strengths in leadership, relationship-building, and fostering of collaborative communities.
  • Commitment to the position for the duration of the grant.


Physical Qualifications

Most duties are performed sitting, but also involve moderate walking and occasional standing, bending, kneeling, stooping, carrying and lifting up to 30 pounds. The position performs a substantial amount of computer keyboard work requiring extensive wrist and hand movements.
