Assistant Bursar, System Analyst Student Accounts

Assistant Bursar, System Analyst Student Accounts

Assistant Bursar, System Analyst Student Accounts, reports directly to the Bursar and maintains the student accounts module of Banner and related payment and communication interfaces (Touchnet, Emma, etc.), and is responsible for management of University Health Insurance program. Also provides administrative coverage for student account related issues for both the Queens and Staten Island campus. Is part of the Student Financial Service team and works closely with colleagues in the Customer Service Center.

Essential Functions:

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Manage the Student Health Insurance process and contract assessment and act as the liaison with broker on behalf of St. John's University.
  • Run, test, audit and maintain tuition and fee assessment algorithms in University Enrollment Management system, Banner.
  • Manage special program billing and communications, ex College Advantage or other programs as needed
  • Create and run queries/reports focusing on receivables, aging, 1098-T processing and any other reports at the direction of the Bursar and Assistant Bursar for AR processing and statement communication
  • Assist in implementation, integration, and maintenance of payment suite via Touchnet
  • Manage all email communications for Student Financial Services-Bursar
  • Assist with updating and monitoring webpage and external communications
  • Assist with year-end financial reporting
  • Assist with required Refund processing
  • Assist in identifying student with multiple IDs in Banner, and other Banner AR data related inconsistencies
  • Assist the University Bursar and AR in subpoena and legal research and requests.
  • Manage and/or assist on all student account related communications including invoices and statements
  • Provide SFS administrative support coverage up to two days a week to the Staten Island Office of Enrollment Services, as needed.
  • Provide backup administrative support for the Office of Student Financial Services on the Queens Campus for call center, Bent frontline and Newman back-office.
  • Keep the University Bursar abreast of any issues with student accounts that may impact customer service and outside agencies


Competencies

This position requires a great deal of judgement, analytical skills, flexibility, creativity and strong technical and people skills. The Bursar relies on this position to implement new/improved systems, procedures and policies. The ability to read, analyze, and interpret technical user guides, state, federal policies and student account documents. The ability to respond to inquiries or complaints from students, staff, faculty and third parties.

Supervisory Responsibility

This position manages two student workers.

Manage Bursar staff testing of new tuition rates for audit purposes

Work Environment

This job operates in a professional office environment. This role routinely uses a computer, standard office equipment such as copiers, phones/voice mail, fax, scanner, printers, etc. This individual is routinely exposed to indoor environment with moderate noise level and on occasion may need to work outside. The job is an on campus position, but individual must be prepared to work remotely if needed and must have own access to Wi-Fi, laptop and a cell phone.

While performing the duties of this job, the employee is routinely required to sit, stand, move about, to carry work, reach with hands and arms, climb stairs, communicate, hear. The employee must occasionally lift or move up to 25 lbs. Specific vision abilities required by the employee include close vision, distance vision, color vision, peripheral vision, depth perception the ability to adjust focus and all day use of a computer.

Employee frequently exercises flexibility (ability to shift from one task to another). Employee routinely works within time constraints and maintains attentiveness intensity. Employee frequently involved in social interactions which require oral and written communications. Employee required to hear conversations in moderate noise environments.

Position Type/Expected Hours of Work

This is a full-time position. Standard workdays and hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. Some late night and weekend work is required.

Travel

Travel is primarily local and will include regular visits to the University Staten Island Campus and may include travel to the University's Manhattan campus. Some travel required to attend out-of-state conferences and/or professional development.

Required Education and Experience:

  • A Bachelor's degree is required.
  • Customer Service Experience
  • Experience with Microsoft Excel, Access, Word and PowerPoint
  • 1-2 years related work experience


Preferred Education and Experience:

  • 3 years Accounts Receivable or Higher Education Experience
  • Data Analysis/Report Building
  • Experience using Ellucian -Banner
