Job Description

Embry-Riddle Aeronautical University is now recruiting for an Office Assistant for the Department of Electrical Engineering and Computer Science (EECS) in the College of Engineering (COE) at the Daytona Beach campus. This position will assist the department chair, associate chair, program coordinators, and other faculty with operational, academic, financial, and communication administration for the EECS department.

Responsibilities include the following:

  • Operational Administrative: Manage and coordinate department chair schedule; schedule and arrange meetings for chair and other faculty; reserve rooms; support department activities (graduation, hooding, orientation, open houses); welcome and receive guests; assist chair, faculty, and students with travel arrangements and expense reporting; assist with selection, procurement of merchandise and gifts; oversee student assistants.
  • Academic Administrative: Assist chair, associate chair, and program coordinators with scheduling classes; assist program coordinators in managing programs, including PhD in EE&CS; assist faculty with book orders; assist faculty with research grants and contract administration; assist faculty with publications; securely collect and distribute materials for evaluation, promotion, and tenure; schedule exit interviews; assist with data collection and analysis for program assessment and faculty evaluation; maintain course, book, and grade records. Prepare PhD, GA, and adjunct contracts.
  • Fiscal/Financial: Administration of multiple budgets, including procurement and receiving of equipment and supplies, transfer of funds, preparation of reports.
  • Communication: Coordinate with COE lead/IT regarding website, AxisTV, other visibility opportunities; maintain copy/print/fax facilities; assist faculty with IT/phone; communicate/coordinate with facilities, materials management, other departments


The EECS department has 20 faculty members and 370 students. It offers the Ph.D. in Electrical Engineering & Computer Science ; M.S. degrees in cybersecurity engineering , electrical and computer engineering , software engineering , systems engineering , and unmanned and autonomous systems engineering ; and B.S. degrees in computer engineering , computer science , electrical engineering , and software engineering .

Qualifications

Required Qualifications:

  • High school (or GED) level ability in spelling, grammar, basic composition, and math.
  • Minimum of 1-3 years of related work experience.
  • Demonstrated administrative and clerical skills.
  • Strong technical skills (PC, Microsoft Office, basic hardware/software).
  • Excellent interpersonal skills and customer service skills.
  • Excellent written and oral communication skills.


Preferred Qualifications:

  • Associate's degree or higher.
  • Prior experience working with university students, faculty, staff, and administration strongly desired.
