The Milton Avery Graduate School of the Arts at Bard College (Bard MFA) seeks a full-time, temporary, position for 6 months with the possibility of continuation beginning March 1, 2021. The position assists the Managing Director and the Director ensuring the academic and administrative needs of the program are met, as well as serving the needs of a diverse group of faculty, staff and students in a highly intense environment. The position will be based at Bard College, Annandale-on-Hudson (NY).

An ideal candidate will possess an innate understanding of the arts community and the particular needs of creative artists, and have strong attention to detail as well as the ability to look at the broader picture. The abilities to strategize, communicate effectively, and work as part of a close-knit team are essential.

Responsibilities include, but are not limited to:
  • Student Academic Coordinator - Management of academic calendar, scheduling student critiques and presentations, Thesis Boards and papers, conference forms, Independent Study reviews, credit letters, liaison w/Student Accounts and Registrar for credit, compile summer program academic archive;
  • Admissions/Recruiting - inquiries, correspondence/phone interviews, campus visits, portfolio reviews, coordinate regional/national Open House/Informational Sessions, process 350+ applications for 28 incoming 1st year positions, coordinate Interview Day applicant scheduling, tours, transportation, refreshments;
  • Web Content Manager - update summer blog, social media posts, public relations, database management, online archive of student work;
  • Additional Program Support - Coordinate with Managing Director and Digital Director on scheduling, space reservations and equipment needs for student events. Coordination of housing and studios for students on campus, manage keys for 130 program participants, supervise program clean-up. Update and distribute annual program evaluation form, compile and share results with administrative staff and Graduate Committee Co-Chairs;
  • Catering and Meals – organize refreshments/lunch for Graduate Committee meetings, refreshment for Information Sessions, Interview Day, assist with summer catering needs and make space and equipment reservations;
  • Additional Administrative Support - phone, filing, order office supplies, program correspondence, manage mailing lists and databases, schedule, organize and attend Graduate Committee meetings.
Requirements:
  • 2+ years administrative experience.
  • Fluency with Word/Pages, Excel/Numbers, and a wide range of Google platforms, including Gmail, Calendar, Docs, Sheets, and Drive.
  • Proficiency with Zoom meeting platform.
  • Previous experience in administration, particularly in the fields of education and/or the arts.
  • Excellent written and oral communication skills.
  • The ability to multitask in a fast-paced environment.
  • Track record of working well both independently and collaboratively, effective time management, and successful event planning.
  • Willingness to approach the work week flexibly, as some activities and events will be held on weekends and evenings.
Strongly preferred skill sets:
  • Experience with web page development.
  • Experience with Slate admissions software a plus.
