Title: Records Assistant

Position Summary: The purpose of this position is to serve as the primary point of contact for the Office of Records and Registration. Additionally, the position completes transactional business for students, faculty, and staff/administrators as it relates to the business of the Office. This position also provides backup support for other Records personnel during peak workloads for their positions.

Duties and Responsibilities: Serve as a primary point of contact for students, faculty, administrators, staff, and alumni who need to conduct business with the Office of Records & Registration, including but not limited to, form distribution, completion, intake, and processing with special emphasis on drop/adds and mass registration. Assist students and alumni via phone and/or electronically, with questions and business processes for which the Office of Records & Registration is responsible as a primary point of contact for the records@volstate.edu email inbox and the Records chatbot. Have responsibility for College individual student/alumni transcript and enrollment verification processing and fulfillment through both the National Student Clearinghouse software systems and manual requests. Process outgoing and distribute incoming mail for the Office. Assist with the manual registration of dual enrollment students. Verify credential conferral and provide diplomas to graduates. Process name and address changes as requested for all current Volunteer State Community College students and alumni. Assist students at Commencement with concerns, line-up, and information needs. Assist with document imaging including document batching and indexing. Represent, in a positive manner, Volunteer State Community College, the Division of Student Services and the Office of Records & Registration with all internal and external constituents. This position also provides backup support for other Records personnel during peak workloads for their positions. Other duties as assigned.

Required Qualifications: High school diploma or equivalent. Two years minimum of office experience.

Preferred Qualifications: Associates degree. Experience in a college/university setting.

Knowledge, Skills, Abilities, and Work Characteristics: Strong keyboarding skills. Computer proficiency using Microsoft Word and Excel. Customer service skills. Communication skills (written and verbal). Accuracy, attention to detail. Ability to multi-task.

Pay Rate: 26,940.00 - 32,330.00 annual salary depending on experience
