Job Description:

BASIC FUNCTION:

To provide secretarial services for department chairs and faculty members in accordance with University rules and regulations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Create and distribute correspondence, course materials, exams, annual reports, resumes, etc., for full and part-time faculty members.
  • Facilitate copying of academic materials for department chairs and faculty members.
  • Assist faculty members, students, and University community personnel and visitors.
  • Answer telephones and distribute messages for faculty members.
  • Maintain a daily log of work to be processed. Point of contact for room reservations.
  • Post class cancellations, changes, and messages from administrative offices.
  • Hire student assistants for the Faculty Service Office. Supervise student assistants, approve the student's timecards, mentor and direct student assistants in their work responsibilities for the office.
  • Reconcile University procurement cards as appropriate. Code online reports submitted monthly to Business Office. Maintain files, collect receipts and documentation for monthly reconciliation and annual audit.
  • Prepare paperwork for check requests, assist with travel arrangements.
  • Assist with Annual Student Handbook, departmental event posters and, create student BOSS award certificates.
  • Handle the logistics of planning and managing various departmental events, field trips, etc.
  • Place and process supply orders as required by academic departments. Manage online orders, Maintain faculty supply closet.
  • Place orders for Gallery events. Special exhibit assistance when needed.


OTHER DUTIES AND RESPONSIBILITIES:

  • Assign and maintain faculty mailboxes.
  • Accept and distribute mail and packages for faculty members.
  • Work with other University offices to allow for an efficient processing of various procedures.
  • Other duties as assigned by the Associate Provost.



Requirements:

A high school diploma or GED is required with at least two years of previous secretarial experience. Previous experience in an educational setting preferred. Must be proficient in MS Office software and database and institutional network systems. Must possess good oral and written communication, interpersonal and organizational skills, managing a variety of tasks efficiently and in a timely manner across a diverse University community. Must have the ability to learn other computer software programs in support of office functions. Must be able to respond quickly and courteously to unexpected faculty requests.
