Student Accounts and Loans Manager

JOB PURPOSE: The Student Accounts & Loans Manager manages all facets of the student billing and receivables processes, including the data integrity of the CX Billing system and oversees the Student Loan Coordinator for Pomona College. This position coordinates Student Account functions with other College departments and outside agencies and ensures that the Student Loan processes such as collections, monitoring Master Promissory Notes and Exit Interviews are done timely and efficiently. The Student Accounts & Loans Manager establishes appropriate communications with students and families to resolve billing issues and initiates collections as needed in collaboration with the Assistant Controller & Bursar.

Note: Pomona College is in the middle implementing Workday Student Financials. The Student Accounts & Loans Manager will play a lead role in the implementation which includes daily meetings during testing, system configuration and performing all test scenarios for each phase of the implementation to go live in 2022.

ESSENTIAL FUNCTIONS: Reporting directly to the Assistant Controller & Bursar, the Student Accounts & Loans Manager performs the following essential duties and responsibilities:

  1. Plan and implement student billing and receivable program to ensure the accuracy and integrity of the system.
  2. Prepare, process, and update data into the CX Billing system.
  3. Coordinate Student Account functions with other College departments and outside agencies.
  4. Establish appropriate communications with students and families as needed.
  5. Partner with the the Assistant Controller & Bursar in other Student Account functions and managing Student Loans.

Note: all CX functions above will need to be done in Workday. The Student Accounts & Loans Manager will need to learn all tasks currently done in CX in Workday.

QUALIFICATIONS:

  • Education/Licenses/Certificates: High School Diploma or GED is required, or equivalent combination of education and experience. Bachelor’s degree is preferred.
  • Experience: A minimum of 3 years of billing and collections office or related administrative and account management experience is required. 3 years of experience at an academic institution is preferred.

REQUIRED KNOWLEDGE AND CRITICAL SKILLS: The Student Accounts & Loans Manager must possess the knowledge, skills and abilities to be able to successfully perform the essential functions of the position or be able to demonstrate how the essential functions will be performed, with or without reasonable accommodation, using other skills and abilities not listed below.

  1. Deploy professional skills in billing and collections process, accounting and account management, investment accounting, in collaboration with colleagues to best promote the College’s strategic interests.
  2. Must have exceptional active listening skills with a strong customer service orientation to find solutions to complex problems, answer unconventional questions, and take firm action when necessary.
  3. Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication and leadership skills to supervise, facilitate, motivate and inspire a diverse group of employees, volunteers and stakeholders from a wide variety of backgrounds. Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail.
  4. Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook), associated professional software (such as Jenzabar, CX CARS, Internet research, Workday Financials, SAL-NET). Demonstrated understanding of the use of technology in assessing and improving department systems and processes to achieve annual goals and maintain confidentiality.
  5. Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College’s strategic vision and the division’s annual goals with a high standard of integrity and ethics.
  6. Must have exceptional organizational, time management, problem solving and mathematical skills to complete work with accuracy and attention to detail.

REQUIRED HOURS: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Holiday, weekend and evening work hours may be required. Regular hours may vary due to needs of the College or division.

SALARY: $65,809
