Job Summary

The Program and Administrative Director provides strategic management and responsive services in the areas of Harvard Stem Cell Institute's (HSCI) programming, administration and operations, from the disease programs to the summer internship to the alliances with industry and foundations. Reporting to the Executive Director, the Director provides front-line attention to the various programs and collective membership of the Institute, from the university, to the affiliated hospitals to the commercial and foundation collaborators. Additionally, in collaboration with the University Development Office (UDO), it is the conduit between the donors to the Institute and the investigators/programs they support. As such, this position provides high-level direction and oversight of the day-to-day operations of the Institute, conveying both incremental and significant developments to the Executive Director and Executive Committee.


Job-Specific Responsibilities

More specifically, the Director:
  • Works with HSCI leadership and faculty, defines optimal avenues to build and strengthen the community. Develops collaborative approaches and executes all aspects of events and programming (disease program community meetings/annual retreat/ Principal Faculty chalk talks/seminars/disease program interlabs). Oversees the implementation of related outreach and communications strategies.
  • Provides programmatic and financial management of $6M collaborative research project with Qatar Biomedical Research Institute (slated through 2025).
  • Manages and organizes all aspects of summer undergraduate internship program, targets and solicits donors for program support, manages online application process, assembles application review committee, solicits projects from faculty and assigns interns accordingly, develops syllabus, on-boards and facilitates stipend payments, manages housing and visa applications, coordinates closing symposium. Coordinates with other Harvard summer programs for shared events. Maintains alumni communication, primarily through Facebook group.
  • Works with HSCI Disease Program heads and principal investigators to leverage funding from philanthropic, foundation and commercial sources. Organize disease communities to coordinate/structure/issue RFPs.
  • Acknowledges and curates donations, in concert with UDO. Organizes bi-annual Directors' Call for donor community in concert with University Development Office. Composes letters, manages spreadsheets of donors, contributions and stewardship. Connects current and prospective donors (individual, industry, and foundation) with members of research community. With Communications Manager, develops materials (including annual report) to share with donors.
  • Manages faculty membership in conjunction with Executive Committee. Prepares letters of admission and constructs/updates website profiles.
  • Assembles and schedules for distribution weekly events email/approves timecard of remote grants officer/reconciles PCard for routine and standing departmental expenses (e.g., FedEx, Foresoft, Amazon, Formstack, , Boston Globe/STAT)
  • Develops agendas for monthly Executive Committee meetings. Attends the same and is responsible for follow up on action items identified in these meetings.

Bachelor's degree or equivalent experience with a minimum of seven years of progressively responsible professional experience in an academic or research organization or management position.

    Background and/or strong Interest in science, innovation and education. Familiarity with the academic scientific environment. Ability to work collaboratively across all levels of an organization. Strong customer-service orientation required. Must be detail-oriented with excellent interpersonal and communication skills, tact and discretion. Must be able to work independently and as part of a team, and balance shifting priorities. Strong project management skills. Familiarity with academic systems and hierarchy preferred.
