Job Summary

The Registrar Office welcomes applications for a Degree and Certificate Coordinator ! This position reports to the Assistant Registrar of Eligibility and Degree Services. The Academic Services work unit within the Office of the Registrar consists of four main areas: graduation/degree services, academic scheduling/course catalog, degree audit, and NCAA athletic eligibility. This position is responsible to provide oversight, support, and continuous improvement for students, alumni, and staff for a degree, certificate, and diploma-related services for Boulder main campus programs, schools, and colleges. This position works closely with staff in the College of Arts and Sciences, Leeds School of Business, School of Education, College of Engineering and Applied Sciences, the Graduate School, University of Colorado Law School, College of Media, Communication and Information, College of Music, Division of Continuing Education, University Libraries and the Program in Environmental Design.

What Your Key Responsibilities Will Be

Management and Development
  • Continuously analyze, review, and assess current business practices to provide innovative recommendations to the Office of the Registrar and campus partners.
  • Implement assessments, create audits, and develop training in order to endorse process improvements to current business practices related to degree conferral.
  • Work with the reporting team to recommend updates, create new reports, validate data integrity, and streamline output for all graduation related reports.
  • Maintain records with high levels of accuracy and efficiency. Due to the decentralization of the University and the importance of the degree conferral process, there is a strong need for this position to have checks and balances in place on student graduation data.
  • Collaborate with key contacts within the Office of the Registrar and across schools and colleges in order to improve shared graduation practices.
  • Maintain current and accurate information and documentation regarding calendars, web pages, performance metrics and statistics, and other pertinent documentation.

Collaboration
  • Oversee the certificate process from student declaration to awarding. Ensure checks and balances are in place prior to posting certificates.
  • Verify undergraduate students are not being declared or awarded Graduate certificates unless approved by all partners.
  • Collaborate with key contacts within the Office of the Registrar and across schools and colleges in order to improve shared certificate practices and thoroughly document procedures.

Operations Support
  • Coordinate and place large batches of diploma orders for all new graduates, replacement diplomas, display diplomas, certified electronic diplomas, certificates, and managing third-party vendors such as Paradigm and FedEx.
  • Troubleshoot account creation with customers, including providing technical assistance and guidance.
  • Determine which student holds can be overridden for diploma processing.
  • Generate Posthumous and Honorary diplomas as needed and upon approval by academic leadership.
  • Review revenue and expenses from diploma orders to reconcile expenses charged by third-party vendors such as Jostens and FedEx.
  • Certify and Notarize diplomas, as requested.
  • Reformat large spreadsheets as well as comparing and auditing data provided by the schools and colleges.

Degree Coordinator
  • Administer all aspects of the University of Colorado Boulder graduation process with regard to evaluating and updating student record data in Campus Solutions.
  • Verify data integrity before performing critical student records processes.
  • Determine when degrees can be posted each semester, and posted accordingly.
  • Create, monitor, and adjust Student Program/Plan stacks in Campus Solutions.

Commencement Program Liaison
  • Responsible for the creation of the commencement program (printed and digital), which includes gathering graduation data, thesis titles, honors, and special text from the Chancellor's office and from graduation coordinators from each college and school to be printed in the commencement program.
  • Write, edit, and proof text for the commencement program.
  • Work with Strategic Relations to design, layout, edit, and print the commencement program.

Administrative Duties
  • Use independent judgment and problem-solving skills to assist students, faculty, staff, and the public via telephone, fax, direct contact, mail, email, and online instant messaging with degree, graduation, and diploma related problems.
  • Triage incoming issues to identify common questions and recognize trends in order to recommend proactive solutions.
  • Oversee delegation of administrative tasks to student workers and temporary staff.
  • Provide backup or support for the Academic Services work units during peak times in those units.
  • Assist with review and processing of academic structure setup, course and classroom scheduling changes, and the NCAA academic certification process.

What We Require
  • A BA/BS from an accredited institution of higher education.


What You Will Need

  • Demonstrated customer service skills, including a commitment to serve students or clients from a unique background.
  • Experience with Microsoft Office applications, in particular, Excel.
  • Leadership, innovative process improvement skills, and the ability to make sound, independent decisions.
  • Verbal and written communication, including editing, and proofing skills.
  • Demonstrated ability to problem-solve, innovate, and contribute to changes in business procedures.
  • Adaptable and results driven.


What We Would Like You To Have

  • Graduate studies and/or degree.
  • Three years’ experience, and/or equivalent experience working with Degrees, Diplomas, Certificates, and/or related services.
  • Certified Notary Public.
  • Experience in a higher education student support services role or office.
  • Experience with student information systems, such as PeopleSoft Campus Solutions and web applications.
